One-Stop Advising System

Dear NJCU Community,
As part of our continued commitment to shared governance and open communication, we wanted to provide an update on planned changes in the usage of software and tools for advising at the university.
Currently, NJCU utilizes two separate software tools for student advisement, PeopleSoft and Civitas. However, over the last year, the NJCU community has requested enhancements and additional training from Civitas, many of which were either not available or at an additional cost. NJCU is committed to providing the best possible advisement experience for our students. As such, and in an effort to streamline our student advisement process, NJCU will discontinue the usage of Civitas when our contract expires in April 2025.
At the same time, in consultation with our Information Technology professionals, and leadership at NJCU, we have identified One-Stop Advising System (OSAS) as a permanent solution housed within our existing PeopleSoft software. OSAS was developed internally and has been dormant for several years.
Upon initial review and testing of the OSAS system by our University Advisement Center (UAC) staff, some faculty members, and administrators, it was determined that the OSAS software was not only better in layout and operation, but future enhancements to the system could be done in-house more quickly and at a lower cost. This is a great opportunity for NJCU to streamline the advising process and save resources.
Our IT staff will be conducting demonstrations for our faculty to learn more about the system. We will also have members of the advisement team in attendance to answer any questions related to the current usage of Civitas and the transition of functionalities between the two systems.
OSAS demonstrations will be held on the following days and times in person in the computer lab on the second floor of the Guarini Library:

- Monday, April 22, 2024 | 11 a.m.–12:30 p.m.
- Tuesday, April 23, 2024 | 2-3:30 p.m.

Wednesday, April 24, 2024 | 2-3:30 p.m.
- Thursday, April 25, 2024 | 11 a.m.–12:30 p.m.

During the demonstration, faculty will be asked to provide feedback and submit requests for enhancements to the OSAS system. Additionally, we will solicit feedback on modules and components of Civitas which faculty currently use that would be helpful within OSAS.
Based on the feedback received during the demonstration sessions, the IT team will continue to develop and enhance the OSAS system. These improvements will allow for additional testing and training opportunities throughout the Summer and Fall 2024 terms.
