Programs Coordinator

THE POSITION

Island Mountain Arts has operated since 1977, running classes in all artistic disciplines, hosting concerts and festivals and running exhibitions that are regional, provincial, national and international in scope. The organization draws people from across the region, the country and globally.

With the assistance of YCW, an intern will be hired to assist with all aspects of coordinating and delivering our late spring, summer, fall and winter programming in 2024.

The intern will work under the guidance of professional arts administrators and gain hands-on experience in arts program delivery. In turn, the intern will contribute to the success of IMA programs by taking on a high-level coordination position for arts workshops, gallery exhibitions, festival management and youth programming. This position encourages youth to take on a leadership role in which they will also learn about the administrative side of these programs, collecting data for grants, honing skills for writing reports and requests for funding, and managing budgets for project-based aspects of the organization

Island Mountain Arts 2024 programming consists of gallery shows, workshops, performances, artist residencies, professional development opportunities, youth programming and a festival that includes aspects of all of the above. The intern will assist in our program delivery, as we work to establish robust programming in the arts on a year-round basis in our rural location.

The intern will walk away with an arsenal of skills related to event coordination in non-profits, making them a valuable asset to any arts non-profit working in virtually any discipline. Arts Administrators with high levels of comprehension across multiple areas of an arts organization gain invaluable skills for working in rural areas, where positions of leadership often ask them to “wear many hats.” The varied opportunities offered within this intern position at IMA may assist the intern with narrowing the area of work they wish to pursue within arts and culture, while encouraging the development of empathy for the many positions, roles and skills that make our work possible.

Tasks include

The Programs Coordinator will:

- Process registrations, prepare welcome packages, provide travel and accommodation information, prepare evaluation feedback forms and offer general support for all program participants.

- Compile class lists for instructors & follow up with payment details.

- Provide travel and communication support for out-of-town instructors and ensure their logistical needs are met (i.e. equipment needs, course materials photocopying).

- Correspond with instructors and share information with program attendees as requested (i.e. materials lists or instrument rentals).

- Prepare press releases, social media posts & promotional mailings relating to the programming

- Work with graphic designers to deliver graphics and copy that is reflective of the organization.

- Maintain tidiness in the school and venues to ensure quality program delivery.

- help coordinate and participate in an organization feasibility study (pending Arts Infrastructure funding)

- Assist with the contracting and organization of artists and vendors associated with IMA programming, primarily for the ArtsWells Festival of All things Art.

- Assist with volunteer coordination, including the development of position descriptions

- Establish and foster relationships with org sponsors and funders as needed.

- Assist with the dissemination of the organizations’ safety and emergency plan to staff, contractors and program attendees

- Assist with fundraisers, welcome receptions, coordinate artist’s talks, concerts, instructor & student performances, workshops, readings & receptions.

- Assist with the upkeep and organization of the Artist Residency property.

- Assist with aspects of daily office duties such as answering phones, e-mailing, filing, photocopying and other duties as assigned.

Necessary qualifications

  • Be a YCW internship-eligible applicant in a field related to the position. Theatre Production, Gallery and preparatory courses, project management, event coordination, and other fine or performing arts operations would all have transferable skills practice.

  • Have an interest in, and/or recognize the value of the visual and performing arts, arts administration & education

  • Have strong organization and data entry skills

  • Have familiarity with Airtable and its functions, or the ability to learn quickly

  • Have proven computer skills: word processing, spreadsheets, e-mail, data entry

  • Be able to work with artists and administrators to set schedules and timelines for projects that require collaborators from outside IMA

  • Have a clear understanding of (or desire to further develop) interpersonal skills (teamwork, motivation, responsibility, caring, active listening and leadership)

  • Have good communication skills (written and verbal) for a predominantly English workspace.

  • Provide keen attention to detail, be conscientious, and embrace creativity.

  • Be willing to live and work in a small town, rural environment.

  • Have a valid driver's license.

  • Be legally entitled to work in Canada, between 16 and 30 years of age, and a Canadian citizen, permanent resident or have refugee status in Canada

  • A passion or interest in the outdoors, given the rural location, is an asset

    This is a full time position and requires a willingness to work flexible hours as dictated by the needs of the job. Evening and weekend work will be necessary. IMA will assist the applicant with procuring housing for the duration of their employment.

THE POSITION

The Marketing and Social Media Coordinator will facilitate all aspects of the marketing plan for the Island Mountain Arts School of the Arts, which includes the Toni Onley Artists Project and the 38th Annual Harp School, exhibitions in the Island Mountain Arts Gallery and corresponding workshops; Art + The Forest programming; Residency Initiatives, ongoing youth arts programming; and the ArtsWells Festival.  

TASKS INCLUDE

Input into the Marketing plan for 2024

Implementation of the 2024 Marketing plan

Prepare and schedule press releases, social media posts, event posters & promotional mailings relating to Island Mountain Arts Programming and Initiatives.

Coordinate all photo, video, bio needs for all summer programming for promotional needs and the IMA event archives

Coordinate distribution of all physical marketing throughout Cariboo Region and BC

Update and ensure the websites under IMA jurisdiction (imarts.com & artswells.com) are up to date and accessible

Liaise with advertising and sponsorship partners to ensure sponsorships agreements are fulfilled

Coordinate and liaise with media suppliers hired for IMA programming

Create and maintain marketing materials in a format that leaves the materials accessible for future grant reports and marketing strategy reviews 

Provide accurate information and assistance to gallery and gift shop customers as well as volunteers and events attendees

Assist with the running of programming, fundraisers, welcome receptions, coordinate artist’s talks, concerts, instructor & student performances, workshops, readings & student BBQs

NECESSARY QUALIFICATIONS

YCW Guideline-Eligible youth in a field related to the position (communications and marketing, business, fine arts, graphic design).

Interest and/or skills in the fine or performing and/or visual arts, arts administration & education.

Reporting to the Artistic/Executive Director, the Art Coordinator - Education will provide administrative, logistical and production support to our Summer School of Arts programming. 

Our workshops and residencies run the artistic gamut, including literary, visual and live Arts. For the Summer of 2024, this is slated to include (but not limited to): 

  • I Made it Through the Wilderness - A 6-week writing course culminating in a two day intensive that is taking place in Wells, with an option for online attendance. 

  • The Toni Onley Artist Project - A 9-day Visual Arts Residency featuring celebrated mentors from across Canada, artist talks and more.

  • Workshops associated with the ArtsWells Festival

  • The Harp and Cello School - a 5-day learning intensive featuring mentors, special interest classes and extracurriculars

  • Workshops associated with Gallery and Residency Artist Programming (3-4 artists during the scope of this contract)

  • Workshops for the public associated with our Art + The Forest programming 

  • Workshops associated with Youth and Performing Arts Presentation 

This position works in collaboration with the marketing, youth project, art gallery and production coordinators to support a cohesive schedule of events and transparent information dissemination to maximize attendance and positive experience at IMA events.

Art Gallery Coordinator | Canada Summer Jobs

Reporting to the Artistic/Executive Director, the Art Gallery co-ordinator will provide administrative, logistical and production support to our Summer Exhibition Schedule

Each summer, IMA hosts a variety of month-long art exhibitions in addition to receptions and coffee houses featuring local performers in conjunction with the School of the Arts and performing arts events. The Art Gallery Co-ordinator will facilitate IMA’s annual summer Public Art Gallery program in conjunction with related events. These will include receptions, artists talks, concerts, instructor and student performances, workshops, readings, and barbecues.

The Art Gallery Co-ordinator will work with artists and assist with curation and hanging of exhibits and displays, coordinate gallery opening receptions, and liaise with artisans, manage gift shop customer service, daily cash transactions and maintain tidiness in the gallery. They will assist in the preparation of exhibition posters, press releases and promotional mailings. They will greet and provide assistance and information to gallery and gift shop customers as well as volunteers and artists. They will assist with all aspects of daily office duties such as answering phones, emails, filing, photocopying, and other duties as necessitated.

ArtsWells Production Assistant | Canada Summer Jobs

JOB DESCRIPTION

Working as a part of the 2024 Summer team, the production assistants will provide administrative, logistical and production support to the Island Mountain Arts Summer Season, particularly the 2024 ArtsWells Festival. Presenting music, theatre, dance, film, literary arts and more, the production assistants will:

  • Gain hands-on experience in the back stage management and production aspects of a festival.

  • Learn about stage design and set up of performance venues and hospitality areas.

  • Practice creative problem solving and apply human relations skills in an artistic performance situation.

  • Successfully manage volunteer labour.

  • Gain an understanding of the technical aspects of stage productions, specifically sound equipment and music co-ordination.

  • Develop organizational skills using computer tools such as spreadsheets and scheduling documents.

KEY RESPONSIBILITIES

The key responsibilities of the Production Assistants are:

  • Compile stage plots, review stage plans with ArtsWells Production Manager and assist with stage décor plans.

  • Compile and distribute artist welcome packages.

  • Maintain updates on the ArtsWells website.

  • Liaise and provide technical support to sound and set-up crews

  • Facilitate smooth transitions between acts, ensuring that performers have required gear and supplies.

  • Plan and set up festival workshops.

  • Plan and set up greenroom hospitality areas and gear lock up.

  • Assist with development of “Safe Spaces” at the event.

  • Assist with coordination of artist accommodations.

  • Compile and maintain multi-use tool kits for venues and set-up crews.

  • Compile printed and video materials for reports and promotions.

  • Update the ArtsWells Festival manual with current information and other duties as assigned.

  • Liaise with the local 2024 ArtsWells Festival Committee on an as-needed basis and through attendance at the regular meetings.

  • Assist with Island Mountain Arts Programming as needed.

This is a full-time, 35 hour / week position and requires a willingness to work flexible hours as dictated by the needs of the job.  Evening and weekend work will be necessary. This position requires work in Wells, though some work can occasionally be done remotely.

Our workshops for youth run the artistic gamut, including literary, visual and performing Arts. We host drop-in programs- half day and full day art workshops for young people, primarily between the ages of 6 and 13. For the Summer of 2024, this is slated to include workshops associated with Gallery and Residency Artist Programming (3-4 artists during the scope of this contract), workshops for youth associated with our Art + The Forest programming, and workshops associated with the ArtsWells Festival. 

This position works in collaboration with the marketing, school of arts, art gallery and festival coordinators to build a cohesive schedule of events and transparent information dissemination to maximize attendance and satisfaction at IMA events.
