Planning a Successful Intellectual or Social Event in Your Quad

Home Planning a Successful Intellectual or Social Event in Your Quad

Author: Ali Harrison, Senior Associate Dean for Housing & Residence Life

One of the amazing things about QuadEx is that residents can that the initiative to plan intellectual and social events for their House or Quad. Below are a few quick steps to consider, and remember: there are several folks connected to your residential communities who are excited to help you bring your ideas to life!

Step 1: Identify the goal or purpose of your event

Step 2: Consider talking to one of the various partners listed below to help you flesh out ideas and plans for execution.

  • Your Faculty Fellows, Faculty-in Residence, and Academic Guides are great resources to begin conversations about potential intellectual events in your community.
  • Your fellow community members, RAs, members of your quad/house council, and Residence Coordinator (RC) are great resources to bounce ideas around concerning social events.

Step 3: Outline a budget for the event.

  • There are various opportunities within QuadEx and HRL to financially support event ideas! Your campus dean and house/quad council are both great starting points! Duke has a list of approved vendors to make purchasing simple and easy!

Step 4: Map out the logistics for the event!

  • Utilize SpaceFinder to identify a location in your quad or on-campus.
  • Check out DukeGroups to see what else is occurring on campus, and also to register your event!
  • Make a list of resources and materials needed for the event.
  • Consider the need for additional tables, chairs, DJ, lighting, etc.
  • If your social event plans to have alcohol, make sure you’ve reviewed the Events with Alcohol Policy (for groups with 25 or more) and that you ensure you have enough trained social hosts to staff your event.

Step 5: Create a marketing plan to let your house, quad, and others know about the event!

  • Share via social media, GroupMe, DukeGroups, etc.

This may seem like a lot, but one great idea can turn into an event to remember, or even a new tradition! The first step is sharing your idea and using the resources around you to help turn your idea into reality!
