Getting Ready for Initial Cookie Order Deliveries |
The cookies are coming! The cookies are coming! Initial cookie order deliveries will run February 8-15. There are two types of cookie deliveries, Mega Drops and Mini Drops. Here’s what you can expect:
If your Troop participates in a Mega Drop delivery, you have selected a day/time to pick up your cookies in Smart Cookies. Here’s the scoop on what to expect the day of your Mega Drop delivery:

Please try to arrive as close to your appointment time frame as possible. This helps the delivery crew to avoid traffic jams as the Mega Drops are set up to move a predetermined number of cookie cases each hour.

Delivery agent staff will check you in at your selected location and place a colorful “bubble” sheet on your windshield that will detail your order by variety. They will use these totals to load your cookies on each table by variety. They will also provide you with a troop responsibility card for you to review before you leave the site.

As you move through the line, you will verify the count of cookies at each table. Cookies are stacked in groups of five (ex: two stacks + 2 cases = 12 cases).
- Please follow the directions of the delivery staff. For example, the staff may ask you to exit your vehicle or to assist in loading your vehicle. If you have a large order, we recommend you bring an additional adult to assist with loading the vehicle if requested.

If your order requires two or more vehicles to fit your order, you’ll need to move through the line at the same time. Wait for all vehicles to arrive at the site before you enter the delivery lane.

At the last station, the delivery agent staff will ask you to verify that you’ve received all varieties and ask you to sign your troop confirmation sheet. You are welcome to take a photo of this signature sheet if you wish.

Note: The delivery agent staff will try to move you through the drive-thru line as quickly as possible. We have troops picking up anywhere from 10 to 500+ cases of cookies at these sites. Please allow a minimum of 30 minutes for your appointment. Your patience is appreciated during this busy, yet exciting week.
View the information for your troop’s delivery location and appointment time in Smart Cookies. Go to Orders>Troop Initial Order, then scroll to the bottom of the screen for the details of your delivery:

If your troop experiences an error at your Mega Drop delivery, such as receiving too many or too few cookies, report the issue within 24 hours to Girl Scouts River Valleys by completing our Initial Order Delivery Issue Form.
If your Troop participates in a
Mini Drop delivery, your Service Unit Cookie Manager will share the date, time, and location to pick up your cookies.
Whichever delivery type your Troop is assigned to, the Troop Cookie Manager is responsible for:

Arranging for pickup of the order. Reference the Cases Per Vehicle Chart (PDF) in the Initial Order Delivery Checklist to ensure the vehicle has enough room for your Troop’s order
- Printing the Initial Order totals. You can either run the Troop Initial Order report in Smart Cookies, or go to Orders>Troop Initial Order>and print the Initial Order page (which will also include the delivery address)

Verifying the cookie totals at the delivery location and again before distributing cookies to families
- Contacting Girl Scouts River Valleys within 24 hours of the order pickup if you discover miscounts or damages
- Setting a day and time for families to pick up their cookie inventory

Issuing receipts to families to show the total Cookies picked up, by variety. Use the Cookie receipts from your Troop Cookie materials. You may also use email or texts to acknowledge the transactions

Now that the Initial Cookie Order deadline has passed, you may wonder where to go if you need more Cookies? River Valleys features a network of cookie cupboards throughout our council area where Troops can pick up additional cookie inventory for cookie booths and additional sales opportunities from Girl Scouts. Cookie Central will be updated next week with the full cookie cupboard information including a handy-dandy reference sheet with all the details. Council On-Demand Cupboards are located in Apple Valley, Blaine, Columbia Heights, Eden Prairie, Mankato, Oakdale, and Rochester. Council Express Cupboards are located in Burnsville and Maplewood. All Council On-Demand Cupboards will be open at 12pm on Cookie Go Day, February 16.

Cookie Open House Events at River Valleys Shops |
Join us for the Cookie Open House events this Saturday, February 4, at the River Valleys Shop locations in St. Paul and Rochester. Test out Digital Cookie, grab some awesome cookie merchandise, enjoy a cookie (or three), register for prizes, and connect with the Product Program Team. We’ll see you there on Saturday from 9am-1pm.

Digital Cookie Registration Links for Girl Scouts and Families |
All currently registered River Valleys Girl Scouts have been sent registration emails for Digital Cookie today, February 1. The primary caregiver of the Girl Scout received the email from either email@email.girlscouts.org or noreply@girlscouts.org. This gives everyone plenty of time to explore Digital Cookie and set up their Digital Cookie site before pre-sales and online sales begin on February 8. Share the information on how to get started in Digital Cookie from last week’s The Cookie Press with families in your troop.
Highlight these important steps in the Digital Cookie set up process with families in your troop so they are ready to accept credit card payments for in-person and booth sales.

- After site set up is complete, click on the "see your site and publish" button:

Once your Digital Cookie site is published, parents/guardians can download the Digital Cookie Mobile app from the App Store or on Google Play. The app will be functional starting on February 8.

Login to the Digital Cookie app. They will use the same email and password used to set up the online account for the app.

Note: if a parent/guardian reports they have not received the registration email, ask them to check their spam/promo or junk mail folder. Or connect with River Valleys to re-send the email. You can also request a registration email or password reset right on Digital Cookie.

As of tonight (February 1) at 7 PM, troops can select any remaining council-secured cookie booths available in Smart Cookies. There are roughly 3,000 booths available for reservation. And don't forget to keep your troop-secured booth requests coming! Our team is actively reviewing and approving booths now through the end of the cookie season. Pro tip - the earlier we can approve your request, the more time Smart Cookies will have to send your booth information over to Digital Cookie so your troop can be prepared to use the Digital Cookie Mobile App for credit card payments!

Tools for Moving Cookies Between Troops |
An important part of the Service Unit Cookie Manager role is to help connect troops for cookie transfers. Now is a great time to prepare troops to report their cookie needs or if they have cookies available for transfers. If you haven’t already, set up a private Facebook group, utilize a Rally in Rallyhood, or create a shared Google Doc to connect troops in the service unit. Share the resource with your troops so they are ready to access the resource when needed.

Juliette Girl Scout Deposit Slip |
For Juliette Girl Scouts that placed an initial order in Smart Cookies, they will receive information on Juliette Cookie Money along with the encoded deposit slips in early February. The encoded deposit slips are to be used to deposit cookie money collected by a Juliette.. If a Juliette needs additional deposit slips, or decides to participate later during the sale, please direct them to email girlscouts@girlscoutsrv.org.
