Enterprise Identity Management (EIM) Project Opens Project Roles

The Enterprise Identity Management (EIM) project has recently conducted critical foundational work and is beginning to plan campus engagement. To support this work, the team is looking for staff to join the Organizational Change Management (OCM) team in two key roles – Change Lead and Change Practitioner.

About Enterprise Systems Renewal

The Enterprise Systems Renewal (ESR) program is an initiative that is transforming and streamlining core business and administrative processes. It is the largest technology improvement program ever undertaken at UC San Diego.

ESR addresses key goals identified in UC San Diego’s Strategic Plan, including creating an agile, sustainable and supportive infrastructure. This work is essential to ensuring that the campus business systems and infrastructure can adequately support our mission as one of the top research universities in the world.

ESR’s model of "expert sourcing," relying on UC San Diego talent to implement new systems, applies to the way we are managing change for our system users.

Each project has a core team that includes change leads and change practitioners specifically trained to implement the Strategic Organizational Change Management (SOCM) framework. These leads meet regularly with the SOCM team for coaching, information and collaboration. The change leads and change practitioners also work closely with the other members of the core team.

About Enterprise Identity Management (EIM) Project

The goal of the project is to define, design and implement a comprehensive strategy and implementation for how we understand and manage identity at UC San Diego.

By introducing a behind-the-scenes Triton ID experience for all university accounts, EIM will strengthen and enhance a more secure identity experience for faculty, students, staff and affiliates, alike. And, in doing so it will also streamline the underlying framework and processes to manage identity.

About the Change Lead & Change Practitioner Positions

Change Lead

As EIM Change Lead, you will use your extensive knowledge of UC San Diego, along with your influence and insight, to help lead the effort to establish a new enterprise identity management system.

This role is a critical factor in the success of this project and would be working with an excellent team dedicated to making sure we understand, plan and manage the changes introduced by the project.

This position is one of three assigned to the project. Working together, Change Leads set the tone for the project and establish the vision and strategy for successful project change outcomes.

As a primary project spokesperson, Change Leads establish and oversee the execution of strategy to guide people through change, known as Organizational Change Management (OCM). 

Responsibilities

  • Partners with Change Leads and Change Practitioners to establish vision and change management strategy
  • In partnership with the Change Practitioner, develop and execute OCM plans in alignment with strategy
  • Proactively engage sponsors, project governance and the campus community to disseminate information and advocates for change
  • Addresses organizational change resistance 
    Escalates issues to ESR Strategic Organizational Change Management (SOCM)

Time Requirement

The role requires working 25% on the EIM project for a two-year engagement.

If approved, this opportunity does not include any change to your current job classification. You would work on the EIM project for the agreed upon percentage of time, while continuing to fulfill your current job duties for the remaining percent. After the Change Lead duties for the EIM project are complete you return to 100% of your current position. Your department will request funding via the backfill process to ensure that there is proper staffing in the department during your two-year absence. Ideally, the new Change Lead will begin working on the project in Winter/Spring 2022.

Change Practitioner

This will be one of three Change Practitioner roles working together, to support organizational change management for the project.

Responsibilities

  • Develops and executes project OCM plans (communications, training, coaching, resistance management, etc.)
  • Routinely conducts project change audience and impact assessments
  • In partnership with Change Lead, creates, refines and directly/indirectly delivers content to target audiences leveraging multiple channels of communication
  • In partnership with Change Lead, identifies and addresses organizational change resistance
  • In partnership with Change Lead, identifies and plans for end-user needs to inform change management and end-user training plans
  • In partnership with Change Lead, escalate issues to SOCM and partner to engage audiences

Time Requirement

The role requires working 80-100% on the EIM project for a two-year engagement.

If approved, this opportunity does not include any change to your current job classification. You would work on the EIM project for the agreed upon percentage of time, while continuing to fulfill your current job duties for the remaining percent. After the Change Lead duties for the EIM project are complete you return to 100% of your current position. Your department will request funding via the backfill process to ensure that there is proper staffing in the department during your two-year absence. Ideally, the new Change Practitioner will begin working on the project in Winter/Spring 2022.

Selection Criteria

Supervisor support is essential as is the willingness and ability to the percentage of time requested for approximately two years. 

  • Current UC San Diego employee
  • Professional Level 3 equivalent or above, exceptions will be considered on a case by case basis
  • Breadth and depth of knowledge of the academic enterprise at UC San Diego
  • Demonstrated leadership and organizational skill and experience
  • Demonstrated relationship, collaboration, and communication skill and experience
  • Experience and knowledge of the student information system
Supervisor support to work on the project.

Selection Criteria

Supervisor support is essential as is the willingness and ability to the percentage of time requested for approximately two years.

  • Current UC San Diego employee
  • Breadth and depth of knowledge of the academic enterprise at UC San Diego
  • Demonstrated leadership and organizational skill and experience
  • Demonstrated relationship, collaboration, and communication skill and experience
  • Experience and knowledge of the UC San Diego business processes related to managing identity (preferred)
