ICYMI: WolfieONE is a strategic transformation initiative that entails implementing an Enterprise Resource Planning (ERP), Human Capital Management (HCM) and Enterprise Performance Management (EPM) ecosystem at SBU, supported by Oracle Cloud, to power our financial, budget, HR, technology, and business operations. Key drivers, besides moving from on-premise to cloud-based modern systems, include improving employee morale and institutional reputation.
1. PeopleSoft Finance and PeopleSoft HR System Change Freeze Remains in Effect
For HR and Finance systems while the implementation of the WolfieONE Project is underway. We would like to remind everyone that the change freeze continues to remain in effect until the go-live date (July 1, 2026) or further notice. This recent communication outlines specific details.

3. Project Team Updates - Welcome New Team Members

Adam Hadley, Associate Controller, recently joined Stony Brook University after leading external financial reporting at Indiana University. He brings experience in financial reporting and audit management, GASB compliance, financial accounting, and tax. Adam is playing a key role in the implementation of WolfieONE, focusing on financial reporting strategy, internal controls, and policy alignment. His leadership is helping align enterprise reporting structures with GASB requirements. Adam is actively working with cross-functional teams to ensure a smooth transition to WolfieONE ERP and financial reporting framework.

Sharice Detiege, Assistant Director, Capital Asset, Grant and Cost Accounting, Sharice joined Stony Brook and the WolfieONE project team as a leader of the ERP fixed assets module. Since joining, she has worked cross-functionally with accounting members of SUNY, SBU, SBF and the Hospital to transform the capital assets workflow for the implementation of the WolfieONE fixed assets module. Joining us with an extensive background in similar ERP and technical accounting implementations, Sharice is well suited to lead a successful Capital Asset implementation while developing streamlined future state processes.

Stony Brook’s Carole Staples, HR Senior ERP Business Analyst, Since joining the Stony Brook University HRIS team in October 2024, Carole Staples has established herself as an indispensable member of the project team. Her dedication, expertise, and positive attitude have made a lasting impression. Carole has seamlessly integrated with the WolfieONE HCM team, offering fresh perspectives and valuable project insights. She has demonstrated exceptional skill in gathering and documenting requirements, effectively bridging the gap between stakeholders and our Deloitte partners. Her ability to translate business needs into actionable solutions has enhanced our project efficiency. Carole Staple’s Response: As a member of the HCM Core Team, I contribute to the successful implementation of the WolfieONE Human Capital Management (HCM) system. My responsibilities include attending and participating in sprints and working sessions to review system functionality, track user story progress, and ensure alignment with project goals. I facilitate daily core team meetings to monitor assigned tasks, address project-impacting issues, and maintain momentum. Additionally, I collaborate closely with both State and RF Payroll teams to gather critical information, business requirements, and validate that the payroll module meets operational needs. This role requires a strong understanding of HR and payroll processes, agile project methodologies, and enterprise system implementation best practices. My work directly supports Stony Brook’s goal of transforming its HR infrastructure and improving the employee experience.

Stony Brook’s Dianne Marone: We want to take a moment to acknowledge an unsung hero of the WolfieONE project Dianne Marone, our Senior Financial Coordinator. Over the past two years, Dianne has been the consistent force behind the seamless coordination and setup of our numerous large group meetings with both internal and external teams. These gatherings are essential for our progress, and Dianne's meticulous efforts ensured they ran smoothly. Even though she is not a formal member of a WolfieONE workstream, Dianne's commitment to tackling critical administrative duties has had a significant impact on our success. Dianne Marone's Response: I was honored to be asked to serve as the coordinator for the WolfieONE project from its inception. In my role, I coordinate meetings and work closely with both the project team and our partners at Deloitte. I also organize all on-site events, including kick-off meetings, luncheons, dinners, and other gatherings during Deloitte’s visits. 
While scheduling complex meetings with participants from multiple departments and securing suitable meeting spaces (that can be challenging), I have genuinely enjoyed the experience. Being part of such a collaborative and dynamic project has been incredibly rewarding. It has also given me the opportunity to meet and work with many wonderful people along the way. 
5. Recent Project Wins
What’s Happening with WolfMart: Presently, campus employees use WolfMart for procurement. WolfMart will seamlessly integrate and exchange data with WolfieONE once it goes live. To ensure this takes place seamlessly, the project team has obtained approval on a Key Design Decision (KDD) for WolfMart to be retrofitted to support the new WolfieOne Chart of Accounts (COA) segments. 
Many solutions were considered and evaluated by the project team to achieve the reporting goals for the overall project while considering the user experience. While the project team will engage in consulting expertise to support the retrofit efforts, the OCM team will conduct focus groups to engage impacted stakeholders in sharing their insights and perspectives. Their feedback is crucial in ensuring that the system meets the diverse needs of our organization and contributes to enhanced operational efficiency. Once WolfMart is retrofitted, impacted users will receive detailed training on how to enter information in WolfMart using the new Chart of Accounts (COA).
6. WolfieONE Profitability and Cost Management (PCM)
Stony Brook University (SBU) is transitioning to an activity-based methodology for budget planning called the New Economic Framework (NEF). Stony Brook University (SBU), Stony Brook Foundation (SBF) and the Research Foundation will transition to the new methodology for budget development and budget versus actuals reporting and analysis.  
The allocations will be supported by a new tool called Oracle Profitability and Cost Management (PCM). Oracle Profitability and Cost Management (PCM) is a cloud-based solution within Oracle Cloud EPM that will enable Stony Brook to manage costs and allocate resources. It will give our users a flexible and easy-to-use platform for modeling costs and allocating shared services. 
The major benefit of PCM is to support the target setting and budget development processes under the New Economic Framework. It will allow users the transparency to understand how the targets and budgets were generated based on key metrics. Currently, this process is largely manual and time-consuming due to the limitations of spreadsheet-based tracking. By transitioning to PCM, we aim to streamline data consolidation and enhance collaboration across departments. PCM will also enable scenario analysis and forecasting, empowering decision-makers with real-time insights to align financial planning with strategic priorities.
7. Organizational Change Management (OCM) Updates
COA Education Plan: In the coming weeks, the OCM team will be delivering a series of educational sessions to all impacted groups to learn about the new Chart of Accounts (COA). The content is tailored to the respective audience based upon their usage and most common scenarios.  
On May 30th, the OCM team delivered an educational session about the COA to our Change Champions. Information was shared with the Champions on how many of us currently use the Chart of Accounts without even realizing it. For example, in the future state, all WolfMart and Concur users will need a basic understanding of the purpose of each COA segment. If you currently handle finance-related tasks, HR forms, purchasing and reimbursements for travel, your knowledge of the COA will be essential to enter transactions correctly to ensure accurate reporting and project success. If you are looking to learn more about the new COA and how it will impact you, please contact your local Change Champion.
Student Experiential Learning Program (SELP):

Another offering of the SELP program has successfully concluded. On May 9, we gathered in person over breakfast to celebrate our SELP students’ graduation. Students, various project leaders from Stony Brook and Deloitte as well as our Associate Vice President for Career Readiness & Experiential Education, Marianna Savoca, all joined to bid farewell to the graduating class.  
Irina Tsagareishvili presented her Capstone presentation to the project leadership and Deloitte executives. Congratulations on completing your Experiential Learning Program, Irina! 
This marks the completion of the third cohort of our Experiential Learning program, in which students can develop leadership, consulting skills, and cloud implementation competencies. We are pleased to share that we will be continuing the program for the Fall of 2025 and have hired 7 new SELP students. We look forward to working with them in the Fall.
