WolfieONE: Charting the Path Forward |
Testing Resumed – Planning Underway |
During earlier testing cycles, the project team tested a number of scenarios to confirm that processes and tasks in WolfieONE could be completed successfully. While three cycles of testing were completed earlier this year, as announced in the March issue of the WolfieONE Newsletter, the project team is now preparing to begin the fourth cycle of System Integration Testing (SIT 4). SIT 4 will test business processes and WolfieONE functionality before User Acceptance Testing (UAT). The team will also test recently built integrations and advanced scenarios that are now ready for testing.
SIT 4 preparation includes developing realistic process examples, setting up access, organizing test data (the current state data that will show up in WolfieONE), reports, tools, and communications. This is an important step in confirming that the functionality that was built delivers the expected results.

Understanding Department Visibility in WolfMart |
As part of the WolfieONE transition and change to the Chart of Accounts (CoA), WolfMart is changing how user access to transactions is determined.
Currently, WolfMart user profiles are assigned to a PeopleSoft department value. This value is automatically added to requisitions and allows users assigned to the same department to view those requisitions, even if they did not create them. In the future state, the new WolfieONE Organization (CoA) value, established by Stony Brook leadership, will replace the existing PeopleSoft department value for determining transactional visibility. This approach is intended to strike the right balance between data security and the operational need for users to access relevant transactions.
Because WolfieONE Organization values do not directly correspond to existing PeopleSoft department values, some users may experience changes in the transactions they can see. Most users are expected to experience little or no change, although some users may be able to access more or fewer transactions than they can today. Additional access will be provided, when appropriate, to users whose roles require support across multiple departments or organizations.

Project Management Office (PMO): Coordinating Delivery and Governance for WolfieONE |
WolfieONE Advances with Completion of Critical Modules |
As of August 24, multiple critical modules across Finance and HR within the WolfieONE implementation are now fully built, marking a significant delivery milestone. The completed modules include Performance and Goals, Learning, Help Desk Support (Ask HR), Cash Management, and Fixed Assets. These modules enable employees and HR administrators to:
| - Conduct performance evaluations and set performance goals in WolfieONE
- Complete mandatory courses in one central platform
- Submit in-system HR service requests
- View financial transactions
- Track and report on fixed assets
|
Once tested and deployed, these modules will help employees complete daily operational and financial activities through more consistent, reliable, and integrated processes. They are designed to support better coordination across university functions, reduce reliance on inefficient or fragmented processes, and provide a stronger foundation for WolfieONE’s continued rollout across Stony Brook University and its related entities.

Organizational Change Management: Evolving Our Change Resources and Support |

As WolfieONE moves forward, the Office of Change Management is strengthening the tools and support that will help employees understand upcoming changes and prepare for new ways of working.
This includes refreshing the WolfieONE website, updating the Change Champion Toolkit and enhancing the Champion onboarding.
Change Champions serve as an important connection between the WolfieONE project and university areas. With enhanced training and resources, they will be better equipped to share timely updates, answer common questions, gather feedback, and guide colleagues to helpful information. These efforts will help ensure employees across the university have the support they need throughout the WolfieONE journey.

Training Material Review Process Resumes |
As WolfieONE advances, the Office of Change Management is resuming the Training Material Review Process to prepare for upcoming end-user training. Reviews were paused while implementation teams completed the Build phase and are now restarting as Build nears completion to keep materials accurate, consistent, and ready for delivery.
The process applies to training materials, process education, and change management resources that help employees understand what is changing, why it is necessary, and how it will affect their work. The materials also cover what they need to start, stop, and continue doing as WolfieONE is introduced. This early education supports the change journey from awareness and understanding to confidence, adoption, and long-term success.
Training packages may include presentations, web-based training, quick reference guides (QRG), Oracle Guided Learning (OGL) content, videos, and other supporting resources. Subject Matter Experts (SMEs) and designated reviewers will validate business processes, provide consolidated feedback, and help meet area needs.
