New Campus Life Program: Student Involvement Assistant Event Drop-Ins |
|
|
Campus Life is excited to share a new initiative to strengthen connections with student groups! Our Student Involvement Assistants (Joey, Tracy and Lasya) will be reaching out to event organizers listed in WUGO to learn more about your upcoming programs and ask if they can “drop in” to support you during your event.
Before the visit, SIAs may also ask if you have marketing materials to share. A select number of submissions will be forwarded to the Campus Life Marketing team for review; if they meet standards, they could be featured in Campus Life social media or newsletters (though inclusion isn’t guaranteed). During the drop-in, SIAs are there to answer questions and share ways Campus Life can support your group.

Officer Transition: Plan Ahead for a Smooth Handoff |

|
November is one of the busiest months for student group elections; second only to March/April! Campus Life encourages all groups to create an officer transition plan before elections to keep your organization running smoothly.
A successful transition ensures continuity, preserves institutional knowledge, and sets new leaders up for success. Here’s what you need to do:
Prepare an Officer Transition Document – Use our pre-made template to capture key contacts, timelines, and responsibilities.
Schedule a Transition Meeting – Outgoing and incoming officers should meet (and include your advisor!) to review goals, challenges, and next steps.
Transfer Access – Update WUGO rosters, change admin permissions in WUGO (this is NOT automatic), and hand over passwords for email, social media, and other platforms.
Overlap Leadership – Ideally, outgoing and incoming officers should work together for at least two weeks.

Keep It Private: How to Hide Events in WUGO |
|
|
Hosting a General Body Meeting (GBM) or an event that’s just for your members? You can still register your event in WUGO to stay compliant while controlling who sees it!
When creating your event in WUGO:
Check “Hidden from Non-Members” box – This ensures the event appears only to members of your group. Non-members won’t see it on the public events list. Keep in mind, if you want your members to see it, they must be on your roster in WUGO.
Works for Any Event Type – GBMs, planning sessions, or member-exclusive social, whatever you are hosting, you can keep it private while meeting registration requirements.
This feature helps you maintain compliance, track attendance, and keep your group’s calendar organized without advertising to the entire campus.

Important End-of-Semester & Spring Planning Dates |
|

We are in the home stretch! As you power through the end of the semester, remember that Reading Week and Finals Week are reserved for academics. Student groups are not permitted to hold programming or events between
December 8th - December 17th.
Now’s the perfect moment to start dreaming big for Spring 2026! Classes kick off January 12th, and your events need to be registered in WUGO at least 14 days before they happen. Get ahead, lock in your dates, and make next semester unforgettable!

Student groups must submit a Post-Event Form within 14 days of any non-recurring event in WUGO. For recurring events, one form per month is due 14 days after the month ends.
