Dear Campus Partners,
We previously sent a detailed newsletter via email with information regarding the system transition (see newsletter). Since some key dates are approaching, we wanted to send more details regarding the Sunapsis transition.
The critical reminder is that the last day you can submit a request to ISEO Scholar Services Team via ISD is March 1st at 4:00PM (please don’t wait too late in the day). From March 2nd to March 8th advisors will be making every effort to process requests submitted to our office, prioritizing based on immigration urgency. From March 9 to March 17, scholar advisors will not have access to process requests in our system, there will be a processing freeze during this time. If you have an urgent matter, please contact ischolars@ucsd.edu.
The week of March 11 -17 will be a busy week! Advisors will be helping IT migrate SEVIS data as this can only be done by the AROs (Scholar Advisors authorized by the Department of State); it is not something IT can do. We will be hosting a training session for all our departmental contacts to learn about the new system. We will also be updating our website with instructions on using the new system.

Access

Will I still have access to ISD after March 1?

Yes, you will still have read/view access to ISD after March 1st but it will only be read/view access for historical reference. You will NOT be able to submit requests or edit anything in ISD after March 1,2024.

- ISEO will be providing access information the week of March 11 - 17.
- How do Scholars (current and future) obtain access to Sunapsis?
- ISEO will be providing access information the week of March 11 - 17.
Requests NOT submitted to ISEO Scholar Team by March 1, 2024
- I started a request in ISD, but was unable to submit by March 1st at 4pm, what do I do?

Unfortunately, you will need to complete a new request in Sunapsis on March 18, 2024 to submit to the ISEO Scholar advising team.
- Will information started in ISD transfer to Sunapsis?

Unfortunately, no. Only requests submitted to the ISEO Scholar advising team by March 1st will transfer.
Requests submitted and currently being worked on by ISEO Scholar Team
- I submitted a J request (initial, date amendment, travel signature, registration) to ISEO by March 1, 2024. What will happen to the request?

We will make every effort to process complete rush cases that were submitted to us by March 1, 2024. However, if many departments wait to submit cases on March 1, 2024 we will need to prioritize processing based on immigration urgency (those coming off payroll, then based on arrival dates, etc.). The request information will transfer to Sunapsis.

I submitted an H-1B to the ISEO Scholar Team by March 1, 2024. What will happen to the request?
- H-1B’s have many more steps, your Scholar Advisor will continue to process the request. The request information will transfer to Sunapsis.
Requests not actively being worked on by ISEO Scholar Team

I have a lot of J-1 and H-1B scholars who I will need to file an extension for, will their initial request information transfer to Sunapsis?

The initial request data will transfer to sunapsis, however documents in ISD will not. You will need to reupload the documents to Sunapsis. The system is different from ISD, in that you don’t edit already submitted information, you complete a request form specific to the action you want to take. We will be reviewing this process in training sessions hosted between March 11 – 17.

My J-1 scholar is starting between March 11-17, how do they register?
- Your J-1 scholar has 30 days from their program start date to register. They can submit their registration in Sunapsis when we go live on March 18.
- I need to submit a date amendment for my scholar between March 11 – 17, how do I submit?

You can submit a date amendment within 30 days of their current program start date. We will be monitoring and proactively reaching out to any that are approaching the 30 days between March 11 - 17.
Immigration Emergency
- Will there be ANY processing between March 11 - 17?

Only for urgent immigration matters and on a case-by-case basis, as decided upon by the scholar advisor. Otherwise, we will ask you to wait until March 18 so that we can prioritize individuals coming off payroll or in other emergency situations.
