Dear Faculty and Scholars,
We are excited to launch Sunapsis—a new and improved system to manage international Faculty and Scholar cases and services.
On March 18, Sunapsis will replace the system we currently use to manage your J-1/J-2 and Employment-Based (H-1B, E-3, TN, etc.) records. The system will transform how we support visa and document-related transactions throughout your entire lifecycle at UC San Diego. It will feature full integration with the Department of Homeland Security's Student & Exchange Visitor Information System (SEVIS), promote a decrease in processing times, refine compliance procedures with J-1/H-1B reporting requirements, and enhance the overall international Faculty and Scholar experience at UC San Diego.

Migrating to this new system is a significant undertaking, given the scope of UC San Diego's international population and the critical nature of the data being migrated. We must ensure continued data integrity, functional interfacing with SEVIS, and appropriate training for all parties using the new system; some of this work will necessitate freezing our current system, during which we will not be able to process standard requests.
To ensure you are prepared for this period of downtime, please be mindful of the following dates:
- February 16, 2024 (FRI) at 4:00PM PST - Deadline to submit the following requests to ISEO to receive prior to system freeze:
- J-1 Initial/Extension/Amendment/Transfer-In
- March 1, 2024 (FRI) at 4:00PM PST -
Deadline to submit the following requests to ISEO to receive prior to system freeze:
- March 2, 2024 (SAT) - ISD access locked
- March 4 - March 8, 2024 (MON - FRI) - ISEO scholar advisors processing cases received through March 1, 2024.
- March 9 - March 15, 2024 (SAT - SUN) - No case processing by ISEO scholar advisors—only urgent matters will be addressed. We define urgent as someone coming off payroll or falling out of status.
- March 11 - March 15, 2024 (MON - FRI) - Training for departmental users.
- Website with Faculty and Scholar user instructions will be live.
- March 18, 2024 (MON) - Sunapsis Live! Submit requests via Sunapsis.
**The timelines provided are based on complete requests; we will make every effort to continue to process within our current processing timelines.**

How might this impact you?
|
|
|
In preparation for the March 18th launch, ISEO must take certain steps to ensure the successful migration of data between systems, including thorough testing and user training. To accommodate the transition, a processing freeze will take effect. Between Saturday, March 9, 2024, through Sunday, March 17, 2024
, ISEO's systems to process immigration documents will be unavailable. During the processing freeze ISEO will only process requests for urgent matters, specifically those with payroll or status continuity issues. All other urgent requests will be assessed by the advisor on a case-by-case basis.
NOTE: Faculty and Scholars may continue to submit requests via isd-visitor.ucsd.edu until Friday, March 1 at 4:00PM.

Sunapsis Launch: What to Expect
|
|
|
ISEO website will be updated between March 11, 2024 to March 15,2024 with detailed instructions to guide Faculty and Scholar users on how to use the Sunapsis system. Your departmental administrative contacts will also receive detailed training during this time period.
