Fiscal Year 2025 Budget Guidebook Now Available
|
The Fiscal Year 2025 Budget Guidebook at Georgia Tech provides comprehensive guidance for academic and administrative leaders, budget officers, and their teams. It covers all aspects of budget development, including revenue and expense structures, planning processes, and assumptions. Produced by the Office of Institute Budget and Planning Administration, this guide was first deployed during the FY24 budget planning process and has been updated for FY25. It outlines both established and evolving budget and planning policies, including changes driven by the Budget Reform initiative.

| New Allowable Cost Matrix Tool Now Available
|
The Allowable Cost Matrix – an indispensable tool for accounting and finance staff – underwent an extensive review in 2023, with the collaboration of campus partners. As a result of this feedback, a new interactive tool is now available on the Controller’s website.

| America-To-Go Improves the Food Purchasing Experience
|
America-To-Go (ATG), Georgia Tech’s e-procurement portal for campus food purchases, recently launched several updates to its website that are designed to improve the user experience. Commonly referred to as the “punch-out catalog,” ATG offers a centralized purchasing hub, connecting purchasers with a diverse array of approved food suppliers and vendors, making the procurement process efficient and budget friendly.

| Procurement and Business Services Wins Award of Excellence
|
Georgia Tech has been selected as a recipient of the prestigious National Association of Education Procurement Award of Excellence in Procurement. This award is presented at the institutional level and recognizes the outstanding contributions made by the procurement department in alignment with the institution's overarching mission.

Important Deadline Reminders
|
The end of fiscal year 2024 is rapidly approaching and it is important to abide by the following deadlines to help ensure a successful and timely close out.
Requisitions to Procurement and Business Services
All requisitions below must be fully routed through departmental approvers and in the Procurement queue by close of business on the dates noted. If applicable, all required documentation must be attached at the time of submittal.

Friday, April 12, is the requisition deadline for FY24 purchases that require sole source justification approval from the state. This applies to purchase that are $500,000 or greater.
- Friday, April 12, is the requisition deadline for purchases that require formal bidding via the Invitation for Bid (IFB).

Friday, April 26, is the requisition deadline for purchases that require sole source posting to Georgia Procurement Registry (GPR).

Campus Design and Construction Projects
Infrastructure and Sustainability has published the following FY24 deadlines for planning, design, and construction (PDC) contracting activities. As a reminder, Procurement and Business Services’ close out deadlines for requisitions for purchase orders, statewide or agency contracts should not be substituted for the PDC dates below. PDC dates are subject to change upon the Office of the Controller’s final schedule. All are due (or placed in the queue) by 5 p.m. on the dates noted.

Contract Awarding and Change Orders: Friday, May 10, is the final day to submit contract awards and change orders in Workday to encumber FY24 funds. If bonds and increase riders are applicable, both must be included in the contracting package for funds to be encumbered.

Invoices and Pay Applications: Friday, May 24, is the final day to submit design and construction-related invoices and pay applications in Workday.
