Updates or spring 2022 operations

Hello Student Leaders:
We are looking forward to seeing you back on campus soon. In light of Tufts' recent announcement about the start of the semester, we'd like to provide some additional details as it pertains to student organization operations. 
TLDR: no food at events, no outside guests at events, get your reservations & event registration forms in at least one week in advance, and it's time to request your 2022-23 budget!
Event & Meeting Protocols
Space Reservations & Event Registration
  • The "Student Organization Meeting/Function Spaces" template on ReserveTufts is now open. 
  • The "Medford Campus Academic Space Request (Spring)" template will not open until January 18th.
  • All Event Registration Forms must be submitted a minimum of five (5) business days in advance. 
  • No meetings or events may occur prior to the first day of classes, January 19. In-person activities should not begin until January 24th to ensure those who have delayed their return to campus can still participate. 
  • Upon confirmation of your requested event space, you will receive specific space guidelines that your organization must abide by. Be sure to read through those carefully.
Joyce Cummings Center (JCC) Student Organization Reservations
  • Student organizations may now reserve spaces within the JCC on ReserveTufts.
  • Rooms 160, 170 and 180 (the "Ballrooms") are available under the "Medford Campus Academic Space Request (Spring)" template.
  • The "Latern" on the sixth floor is not avalable for student organization meetings or events at this time.
  • Since the building was designed to serve as a conference center for the University, priority will be given to Conference & Event Services external clients on Friday at 3 p.m. through Sunday at midnight.
  • While there is no fee to use event spaces, student organizations are not permitted to move furniture in any space on their own. Facilities setup reqeusts must be made through your Event Registration Form on JumboLife, which is a billable service. 
  • As with all academic spaces, no food is permitted within the classroom spaces. Tufts Catering is the only approved caterer for special events in the Ballrooms or other event spaces.

2022-23 TCU Budgeting
The budgeting cycle to request funds for your TCU funded student organization for the 2022-2023 academic year (FY23) is underway. Please note, club sports, department funded organizations, fraternities and sororities, SMFA SGA sub-groups and other sub-groups are not individually TCU-funded and do not need to complete an annual budget request.
  • All signatories, treasurers, and any other equivalent financial position within a TCU-funded student organization must attend the mandatory budgeting training session on either February 1 at 7:00 p.m. or February 3 at 7 p.m. to move forward in securing a FY23 budget.
  • Preliminary budgets are due February 18 at 5:00 p.m.

2022 Student Organization Awards
Let's celebrate your organization's accomplishments! The Tufts Community Union Judiciary Board is now accepting nominations at go.tufts.edu/orgawards. Nominations are due April 4, 2022.

2022 Re-Recognition
Student organizations that are TCUJ recognized will be evaluated for their annual TCUJ re-recognization using their current JumboLife organization profiles. In order to ensure the TCUJ is able to re-recognzie your organization, please be sure that your full roster is updated, your most recent constitution has been added, and all events have been registered prior to February 11, 2022. Follow these directions to manage your organization's JumboLife profile. Leaders will no longer need to compete any additional forms or submit event documentation, constitutions, or rosters to the TCUJ. 
Club sports, fraternities and sororities, SMFA SGA sub-groups and other sub groups, as well as non-TCU recognized department sponsored organizations do not need to complete the annual TCUJ re-recognition process.
Optional Financial Stewardship Traning
On Wednesday, February 9 at 12 p.m. Meredith Prunier from Tufts Audit & Management Advisory Services will give organization leaders the skills to effectively manage an organization’s budgetary operations and discuss best practices to protect budgets and ensure funding goals. Please resiger online.
