A Message from the Chief Human Resources Oficer
Welcome to our first monthly HR Community of Practice (HRCP) newsletter! We hope it provides useful information to you as a member of the HRCP.
In future months, we'll include stories about HR partners' work, and other issues of interest to UO HR professionals.
If you have ideas or suggestions for the newsletter, email hrcommunications@uoregon.edu. We would love to hear from you!
And if you have HR colleagues who are not on the hrpartners list, encourage them to subscribe so they will receive our newsletters and other important HR updates.
This newsletter has two sections:

News for HRCP
Updates, News, Requests, and Reminders
Recruitment education survey: Talent Acquisition has been delivering a series of trainings over the last year. As they plan for future trainings, they'd like to check in with campus colleagues to get a sense of your needs for resources and topics. Thank you for taking a minute to participate! Take the survey.
New lead work and work out of class forms: The instructions and forms for these pay actions have been updated on the HR website. Please use the new forms and help supervisors to understand the considerations for approving differential pay.
Emails from bulk senders: We'd appreciate it if you'd add the following emails to your safe senders list so you'll be sure to receive HR messages and content. Even if you already receive messages from these addresses, adding them to your safe senders list could help improve the algorithm for other UO email users:

  • elrdirector@uoregon.edu
  • around@uoregon.edu
  • hrcp@uoregon.edu.
Additionally, we recommend checking whether you have Outlook's focused inbox turned on, and if so, check the Other inbox periodically for important university communications. You can also tell Outlook to always send messages from certain senders to your Focused box.
Tip of the Month
After a candidate has accepted an informal job offer, remember to change their disposition in MyTrack to "Contingent offer accepted." This will prompt the Talent Acquisition team to proceed with the hire.
Now is also a great time to go into your completed searches and make sure ALL applicants have a final disposition.
HRCP Events 
Oregon CUPA-HR Spring Conference: May 2-3, Hillsboro Embassy Suites. The Oregon chapter of the College and University Professional Association for Human Resources presents an evening networking event on May 2 and a full day of learning on May 3. Please consider attending for the learning opportunity and to maximize UO's representation! Visit the CUPA-HR website for more information.
HR Community of Practice Professional Development Series -- Change Management: May 21, 9:00 a.m. to 1:00 p.m., location TBA. This series of workshops is intended to foster a sense of support and collaboration among unit and central HR practitioners, so you are warmly invited to attend! Change management is an important skillset in HR and at a large university. We'll discuss various models and components of change management, why change management matters in our work, and identify opportunities for collaboration. The session will include breaks and a catered lunch. Register in MyTrack.
Summer Term Appointment Help Sessions: Four sessions through early May, offered on Teams. Drop in to office hours with HR Operations for help with your summer term appointments. Documents for summer appointments with a June start date are due May 15.
UO HR Jobs
The university has several HR job openings. Check them out, and share in your networks!
We'd particularly like to highlight two HR Project Manager positions that will support HRCP in our work of creating structures and collaboration in UO's HR practice. These position report directly to Sue Russell, Director of the HR Community of Practice and are eligible for hybrid work. Application review begins April 1.
HRCP Meetings
The next HR Community of Practice meeting will be April 3 at 2:00 p.m. on Zoom. The primary topic will be HR communications: what is it, why do we need it, and how does it interact with unit HR work?

Policy and Process News
Understanding Sexual Misconduct, Resources, and Employee Responsibilities training deadline: May 22. Unit leadership will receive periodic lists of employees who have not completed the training. Note that this is a different and separate training from the Workplace Harassment & Discrimination Prevention Training. For more information, visit the HR website.
Student employee rights: Our student employees have new rights that supervisors need to be aware of; namely Weingarten rights, permission to hang posters, and the right to present at new student employee orientations. The department needs to report upcoming orientations (even of only one student) to UOSW. 
Hiring pool close dates: Faculty hiring pools will now have close dates. Talent Acquisition will work with units to close out expired pools monthly. This helps create a smoother experience for applicants and eliminates duplicate hiring pools. Close dates will be one year from initial posting, (or sooner by request).
Summer term planning: Conversations and planning about summer term teaching appointments should be happening. The deadline to offer a teaching appointment with a June start is May 10.
Benefits education webpage: HR Benefits has a new webpage of upcoming education opportunities. We encourage you to share our new page with your units!
Employee Events
New Faculty and Staff Community Orientation and Resource Fair: April 9, 9:00 to 11:00 a.m. EMU Ballroom Room 244. Register in MyTrackFor employees new to the university. HR partners are also invited to connect with colleagues and welcome new employees. More information in Around the O Workplace.
Retirement Expo: April 23, 10:00 a.m. to 3:00 p.m., EMU Crater Lake North and South Rooms 145 and 146. The theme is "Get Your Ducks in a Row for Retirement." Representatives from PERS and supplemental retirement vendors will be giving presentations and available throughout the day.
UO Kids on Campus Day: April 25. The UO participates in the national Take Our Daughters and Sons to Work event. Children ages 9 to 13 are eligible to attend and must be accompanied by an adult at all times. More details will be announced in the next couple of weeks.
Outstanding Employee Award Celebration: May 22, 1:30 to 3:00 p.m., Giustina Ballroom, Ford Alumni Center. Join us for this annual community celebration of the awardees and the work done by officers of administration and classified staff. And don't forget to nominate an outstanding colleague by April 12!

Spring term and April 2024 hires and changes are past due. Please submit ASAP.

Unit-based HR managers can help ensure smoother processing by setting internal deadlines that give plenty of time for them to meet University HR and Payroll deadlines.
