We’ve curated two additional topics to support you in the spring student hiring process. As a reminder, December 16 is the recommended last day to modify any spring student positions (biweekly and monthly), initiate transfer transactions, initiate Short Work Break (SWB) transactions, and submit termination or termination extension requests.

Employees hired at Georgia Tech are required to complete the onboarding documents and I-9 verification process BEFORE they can begin work. If any of the following apply, please make sure your employee completes this process immediately: 

• They have been hired at Georgia Tech for the first time. 
• They have not worked, logged time, and received a paycheck at Georgia Tech for the past two years. 
• They have previously been employed at Georgia Tech as a different employee type. 

Appointments are available Monday through Friday from 8 a.m. to 5 p.m. Encourage your student employees to complete this process before leaving for winter break. No appointments will be available during winter break (December 22-26).  

Use the following reports to review detailed information on active student employees (e.g., employee ID, employee record, position information, FTE, standard hours, pay rate, employee status, hire, rehire, position entry and future term dates, and report to supervisor name and email). Direct Hire eRequest Unit Report 
This report provides a comprehensive overview of submitted Direct Hire eRequests to see where hires are in the compliance process. 

Student Combo Code Query in OneUSG Connect
This query pulls real-time data into one easy to manage report in OneUSG Connect.

• Call the ASC at 404.385.1111. 
• Email the ASC at support@asc.gatech.edu. 
• Submit a General HR Request via the Administrative Services portal.  

• For student employment eligibility inquiries, email the GTHR Student Employment at student-employment@gatech.edu.
