As the end of spring term draws near, it's an exciting time at PSU as many of our students become the new graduating Class of 2016!  Take a moment to congratulate your student workers who will be graduating and have completed their education at PSU.  We wish them the best as they move on to bright futures.  
AAUP Letters of Offer Are Available!
The new AAUP letter of offer templates are now available on the Letters of Offer page.  The following letters are new, and moving forward, these templates as well as a signed position descriptions, will be required:

Effective 7/1/2016, Oregon's minimum wage is increasing to $9.75 per hour.
All employees who are currently making minimum wage will automatically be increased.
FLSA Updates!
The U.S. Department of Labor issued its much-anticipated final rule changing the regulations for the so-called "white collar” exemptions under the FLSA, and significantly increasing the minimum salary level necessary for employees to be properly classified as exempt executive, administrative, and professional employees.
The final rule and its increased salary requirements will take effect on December 1, 2016. The new regulations more than double the minimum salary level for exempt “white collar” employees from $455/week ($23,660/year) to $913/week ($47,476/year).  
The Department of Labor has issued Guidelines for Higher Education Institutions which you can read here.  HR has created a webpage that has additional information and resources, and will keep you informed of any upcoming updates.  
Please make sure your un/un, Academic Professionals, and non-teaching faculty position descriptions have been updated in PeopleAdmin by June 30th!
Upcoming Trainings
HR is committed to providing our campus community with as much relevant and useful information as possible. For your convenience, we have online trainings that cover a variety of topics from recruiting and hiring to leadership and best practices. You can utilize the online webinars or come to a training by members of the HR team. Check out the HR training calendar for additional learning opportunities. 
Students Working Summer Term 
The criteria is tricky when it comes to students working in the summer, but HR is here to help with any questions or concern you may have, and we are always happy to clarify. Just to get you started, here are a few things to keep in mind when hiring a student employee for the summer:
  • Students who are enrolled full-time may work up to, and no more then 20 hours a week.
  • Students who are not enrolled in courses, but will be students the following term, may work up to 40 hours a week. Overtime guidelines apply. 
  • Students who have graduated and will not be returning as a student may not work as a student during the summer (there are alternative employment options).
  • All Workstudy jobs are automatically ended on 6/15, each year. A Workstudy student must be rehired after obtaining authorization to work during the summer from the Financial Aid Office.  Workstudy students need to provide a certificate of Workstudy authorization, which is created through the financial aid department. Summer EPAF'S for Graduate Assistants  
If you're hiring gratuate assistants this summer, when starting the EPAF you'll want to select the correct Approval Category, as shown in the highlighted screen shot.  Summer Graduate Assistant EPAF's allow you to enter the actual start and end dates the person is working, and will pay according to the summer pay schedule based on the dates you enter on the EPAF.  If you have EPAF questions please contact Polina Vdovich. 
EPAF Transactions Report 
Have you ever needed to access an EPAF you created last fall? Located in the Cognos/DataMASTER Human Resources Public Folder, HR has created a report called "EPAF Transactions" which allows you to search all EPAF's for a specific person or an org code. The report will provide information regarding start and end dates, FTE, contract amounts, if it's completed or still pending and with whom, as well as any comments, and much more.  The Banweb system will keep EPAFs in its history for 6 months, however the EPAF Transactions report allows you to search for a complete record of EPAF transactions.  It is a great resource, that allows you to search for relevant employee data when you need it.
PeopleAdmin 201
PeopleAdmin has several great search features that we would like to share with you.  Being able to quickly find what you're looking for in PeopleAdmin will save you time.
1.  The text search box allows you to search for specific words or names.
2.  Select more search options to expand the search tools area.
3.  Using the searching and filtering tools to narrow down the results that the system presents.  Use the column controls to organize and sort the search results.  
  • You can add columns if the information you need is not included on the page.
  • Move a column to the left or to the right using its left and right controls.
  • Delete a column using its delete control if you do not want to display it.  If you need to add it back later, use the add columns to do so.
  • Order the search results by sorting a column in ascending or descending order using its up and down controls. 
  • You can use these tools in any order. 
4.  Once you have organized your search the way you want it, you can select "Export Results" from the orange "Actions" button to export your results to Excel.
HR Urban Legend
If my employee has not told me they have a disability, I do not have to ask if they need accommodation.
False. Although typically a disabled employee will request an accommodation, in some circumstances, they don't need to. Under the ADA, an employer may be put on notice through observation, or by receiving information from co-workers or an associate of the employee. If you think an employee might need an accommodation, simply ask.  Do not ask if they are "disabled."  Ask if there is something they need to help them in the performance of their job.  Document your conversation.  Contact Human Resources if you are unsure on how to address or accommodate your employee.

HRIS Team Introductions
We would like to introduce you to a different HR team each month and provide a glimpse into what each team in HR does. This month we’ll feature the Human Resources Information Systems (HRIS) Team. The team consists of two members, Justin Moore and Brandon Bighaus, but they also frequently partner with Nina De Lange, our HR Analyst. Together, the three of them provide workforce data and reports for the HR department, campus community, and external inquiries such as federal and state reporting and FOIA requests. The HRIS team also works with OIT Enterprise Solutions teams to help design and maintain HR systems such as Banner, Cognos/DataMASTER, and OnBase. Working in partnership with OIT, the HRIS team also delivers automation solutions such as the Online Leave Reporting system, Graduate Assistant EPAFs, Online FMLA Leave Reporting system, and other internal HR process improvements.  When you call either the HR Front Desk or the OIT Helpdesk with questions or issues involving HR systems, the HRIS team frequently gets involved.

An interesting fact about the HRIS team is that between its members, none have degrees in HR or IT, but they’ve still found their way here!
