Our monthly newsletter aims to keep the RIT community informed about important updates, changes to financial policies or procedures, and available resources on the CTO Website.

Did you know that Payroll received more than 500 returned W-2 forms in 2025 due to outdated mailing addresses? By choosing electronic W-2 delivery, you can access your tax document sooner and have peace of mind knowing it's delivered securely and directly to you. Making the switch also helps reduce returned mail, supports RIT's sustainability goals, and lowers postage costs.

You can view and change your current Tax Document Printing Election directly in Workday:

Click your Profile Icon in Workday
- Select View Profile
- Click the Pay menu option (from the left sidebar)
- Select Tax Documents (along the top of the page)
- To change your delivery method, click the Edit button

Update to Workday Time Kiosks
|
Switching Between Check In and Check Out |
Workday has implemented a correction to the Time Kiosk functionality.
When multiple time entry methods were used, or punch corrections were made, the kiosk returned the incorrect punch type (e.g., users expected a “Check In” punch type, but were instead presented with a “Check Out” type).
There is now a link to switch the punch type directly when completing the action (refer to the screenshots below).

Workday Release Update
and New Resources

Semi-Annual Planned Release on September 19 |
Workday provides updates to its platform twice a year and refers to these updates as Feature Releases.
Workday's next feature release is scheduled for September 19. The CTO and other functional teams (HR, Student Employment, and ITS) are reviewing and testing release updates to help ensure a smooth transition with this new release.
Check out the next Workday Newsletter (sent to faculty and staff around the release date) for highlights of changes that may impact RIT users.

🆕 Brand New Workday Resources on the CTO Website
|
The CTO website now features a dedicated Workday section with business process maps, communication about reporting updates, and other tools and resources to support the RIT community.

Upcoming Workshop Session on September 17 |
Property Accounting is preparing for the fall inventory cycle. The Accounting team uses Workday to complete this important control activity.
If you participated in a previous fall inventory cycle, you can expect to receive email communications from Property Accounting with instructions for completing asset verification.

On September 17 at 9:00 AM, the CTO Community of Practice session will be devoted to the Physical Inventory process. We plan to send out the physical inventory communications shortly before this session.

Effort Reporting Compliance Reminders |
Certification for the Spring 2026 Semester |
Effort Reports for the spring 2026 semester will begin routing to Principal Investigators (PIs) for certification through Workday in September.
Effort reporting is a federal compliance requirement that confirms salaries charged to sponsored projects reasonably reflect the effort performed during the reporting period.
When an Effort Report is received, PIs are responsible for reviewing and certifying the report in Workday within 30 days. Training materials and step-by-step guidance for completing effort certification in Workday will be distributed prior to the launch of the certification cycle. We encourage PIs to review these resources and plan accordingly to meet certification deadlines.

New Punchouts Available in Workday |
Procurement Services (PSO) is excited to announce the launch of five new Punchout suppliers in Workday:

These Punchouts are designed to streamline the purchasing process and provide a more efficient, user-friendly experience when ordering from commonly used vendors.

Upcoming Workshops and Events |
|
|
|
|
Learners will learn about the Physical Inventory process in Workday.
This session will provide information on dates and the instructions that asset coordinators will receive at the start of the fall process.
We will walkthrough the process on how to submit the physical inventory information once the asset coordinator and department complete their review/count of items.
|
|
|
|
| This session will cover the fundamentals of Gifts Given taxation at RIT and highlight recent developments in this area.
Presenters will go beyond the tax code and regulations by sharing key metrics, providing live demonstrations, and discussing practical examples and best practices.

|
|
