Changes required for personal mobile devices accessing VUMC data
In support of the broader ExpeditionTech Program, VUMC IT is initiating a migration to Microsoft Mobile Application Management (MAM) and Mobile Device Management (MDM) to protect data in Microsoft 365 Apps such as Outlook Email and calendaring. Workforce members who want to access VUMC resources from a personal device will need to take action when communications arrive to ensure a smooth transition.
The staggered rollout has already begun and ends July 1, 2021. See the migration schedule to identify when your group is slotted to begin and visit the Microsoft Mobile (BYOD) website for detailed information.

Updated COVID-19 infection prevention guidance for outdoor and non-clinical areasAs of May 26, VUMC no longer requires employees or visitors to wear masks outside its facilities regardless of the individual’s vaccine status. This change is part of the Medical Center’s updated COVID-19 infection prevention guidance that will be phased between May 26 and June 1.
The updated guidance includes changes to indoor and outdoor masking policies and provides a new ID badge sticker process so that VUMC employees who have been vaccinated for COVID-19 can be easily identified. Beginning June 1, employees who have been vaccinated will no longer be required to mask indoors in non-clinical areas (including non-patient care areas of mixed-use buildings) outlined in the updated guidance. Information about which buildings and areas of buildings on VUMC’s campuses are considered non-clinical is available here.
The updated guidance also includes changes to social/physical distancing requirements, updated guidance on meetings/gatherings, information about changes to the daily temperature screening process at facility entrances, masking requirements in breakrooms, and updated guidance on business travel. Policies for those working from home are not changing at this time.
The guidance for clinical areas and patient encounters has not changed. Masking will continue to be required of all persons, employees and visitors, regardless of their vaccination status, upon entry into all clinical areas. Clinical areas include any patient care or public areas where patients are or may be present. Masking will continue to be required when riding a VUMC shuttle, regardless of an individual’s vaccination status. Visitation policies for hospitals and clinics remain unchanged for now.
Beginning June 1, the Occupational Health Clinic will lead an ID badge sticker process that will allow employees to voluntarily self-identify whether they have been fully vaccinated. Employees who are fully vaccinated can be verified through Occupational Health and will be able to forego masking in non-clinical settings. Employees can consider themselves fully vaccinated 14 days after receiving a 2-shot series (Pfizer or Moderna) or 14 days after a single dose of Johnson and Johnson.
Individuals at VUMC eligible to receive a “Vaccinated” ID badge sticker include employees, volunteers, medical and nursing students, Vanderbilt University employees working in Medical Center facilities, and post-doctoral researchers or fellows.
Frequently Asked Questions (FAQs) about the new masking guidance, “vaccinated” ID badge sticker process, in-person meeting guidance, business travel, and working from home can be found here.

UPDATE: Biowaste CollectionThe autoclaves used to process biohazardous waste from the hospital and research labs in VUMC buildings have been removed and replaced with a new Sani-Pak autoclave system. The new system has many advantages over the old system including a safer, more ergonomic process for collection personnel, more efficiency, and more throughput. Starting the week of April 5th, SOM EVS will begin the transition from the current biohazardous waste procedure to the new Sani-Pak procedure.
Here is what this means for you:
- 96-gallon Sani-Pak Collection Carts are being placed in centralized areas, such as autoclave rooms or common equipment areas. There will be future communication with the exact location of the collection point for your lab space once everything is in place.
- When the Collection Points are operational, lab personnel will take their sealed biohazardous waste bags to the Collection Carts and place them inside for disposal. SOM EVS will then take the Carts to the Sani-Pak autoclave for processing and place a new Cart in the centralized area.
- Sharps containers will NOT be placed in the Sani-Pak bins. Sharps containers should be sealed and placed by regular trash containers.
- Once a Sani-Pak Collection Point has been established in your area and sufficient time has passed to ensure that the new process is working smoothly, direct pick-ups of non-sharp biohazardous waste from laboratory spaces will stop.
PLEASE REMEMBER:
- When transporting biohazardous waste, a secondary container is required.
- All bags MUST be closed with a single knot or two zip ties.
- A cart that holds the secondary container is strongly recommended.
- Proper PPE should be used during the transport of biohazardous waste.
- Sharps containers are NOT part of the Sani-Pak system! Those containers must be sealed properly and staged next to your regular trash. They will be processed separately.
