Hire and Pay Action Deadlines
  • Winter term and December changes are past due to HR Operations.
  • January renewals and pay actions are due December 13.
Other personnel and pay deadlines:
Be up front with your employees whose pay may be delayed. Communicating early will help manage expectations.

Tip: Add the calendar "HR Community of Practice" to your Outlook or bookmark the HRCP calendar in your browser.

Updates, News, Requests, and Reminders
Workplace Harassment and Discrimination Prevention training: THANK YOU for reinforcing the messaging around this training. The deadline is January 29, 2025.
HR training directory: Now available on the HRCP SharePoint. Check it out and let us know what you think! You'll need to be logged in to your Office 365 account to see the web version.
FLSA overtime rule struck down: See CUPA-HR story. Both the 7/1/24 and 1/1/25 salary threshhold changes have been struck down. The salary threshhold of $35,568 per year, set in 2019, will remain in effect. Our Class/Comp team is analyzing the actions we took for the 7/1/24 changes and will reach out to affected units in the coming weeks.
New student hiring forms: There is a new SEF, and it requires the job title and supervisor. For student employment exception requests, use this new form. Exception requests are now handled by Employee and Labor Relations (instead of Talent Acquisition).
Reclassifying research faculty from pro tem to career: is now done in MyTrack (instructions).
Direct deposit form PDF going away: Please support employees in using Duckweb to make changes to direct deposit (Duckweb/Employee Information/Employee Dashboard Application).
Quiet period December 25, 2024 through January 1, 2025: Encourage your teams to observe the quiet period as operations allow. If you work during the quiet period, avoid sending non-essential emails and Teams messages. Learn to schedule a later send for: Emails Teams messages
2024-25 floating holiday: Eligible employees can use it between December 1, 2024 and November 30, 2025.

End-of-year searches
"Circle back in the new year" season is approaching, but make sure you're keeping your applicants and committees squared away.
Some tips:
  • Remind committees to plan meetings and interviews around their time off.
  • Don't set application review dates when committees won't be available to review materials. 
  • You can put custom language in the Application Review Begins field to describe your process to candidates.
  • Keep your candidates warm. Let them know what to expect in terms of communication over the winter holidays.

Employee Leaves Training for Unit HR and Payroll Administrators: December 3, 10:00–11:00 a.m. on Zoom. Increase your confidence and your employees' satisfaction with the leaves process. Tracy Lilley, senior leaves coordinator, will provide essential knowledge on protected leave programs (FMLA, OFLA, PFML) and your role as unit administrators. Register in MyTrack.
Faculty and Staff Brand Training: December 3, 2:30–4:00 p.m., Ford Alumni Center room 403 or on Zoom. Learn how to apply the UO's visual brand, trademarks and licensing, order branded merchandise, and more. Incorporate the UO brand into your candidate and employee communications! Register here.
Five Paths to Leadership supervisor workshop: December 5, 2:00–3:30 p.m., location TBA. You'll take the Five Paths to Leadership assessment beforehand, then learn to better understand yourself and others. We will apply our learning to designing an effective meeting that maximizes engagement. Sign up in MyTrack
UO Peer Coaching Pilot Kickoff: December 9, 9:00–10:30 a.m., Ford Alumni Center Ballroom. Followed by practice sessions from 1:30–3:00 p.m. or 3:30–5:00 p.m. in the Knight Library Browsing Room. Designed to give you high quality connection and collaboration for a relatively small time commitment. Learn more, including how to sign up for the kickoff and/or a practice session. Questions? Next session is December 11, 2:00–3:00 p.m.. on Zoom. Join UO Benefits Office staff for a session on benefits and retirement options for faculty, staff, and officers of administration. Learn about core and lesser-known benefits and perks. (New employees should not wait for this session to enroll in benefits.) Register in MyTrack.
Understanding Antisemitism and Islamophobia workshops: The Division of Equity and Inclusion hosts sessions with national experts to help the UO community define and respond to antisemitism and Islamophobia in a constructive and healing way. All workshops will be on Zoom. Register at the links below.
