Our daily lives have been altered tremendously since our last edition of the policy post. We hope that some of the topics discussed below may ease your work as we pursue the university mission in a modified way. As always, we seek to improve the efficacy of our processes by fine-tuning our policies. Please contact us and share your thoughts about our policy posts. We welcome suggestions for future editions.

Substantive Change Policy Update

In compliance with Federal regulations and Tulane's accreditor, the Sourthern Association of Colleges and Schools Commission on Colleges (SACSCOC), Tulane's Substantive Change Policy was recently upadated. Substantive changes must be reported to SACSCOC in advance of the implementation of the change. The updated policy provides a detailed explanation of all actions that constitute a substantive change. The most common type of substantive change is the implementation of new degrees, majors, or certificate programs. Tulane's Guidelines for New Degree Offerings, Majors and Certificates further outlines the approval process for new academic offerings and shows how the substantive change policy fits into the process. Questions and concerns should be directed to Tulane's SACSCOC Liaison, Jessica Shedd, Assistant Provost for Assessment and Institutional Research.

Admissions Deadline Extensions

The Office of Graduate and Postdoctoral Studies has partnered with Newcomb-Tulane College to market graduate and professional programs to Tulane students. For the Fall 2020 admissions cycle, several graduate and professional programs in all of the schools have extended their respective deadlines for admissions.

Grad Assistants VS Adjuncts

Tulane graduate students who are the Instructor of record should not be classified as Adjunct Instructor. In the HCM system, they should be classified as a Graduate Teaching Assistant on Stipend. In fact, we are moving away from the generic “Graduate Assistant” title and it should be replaced with “Graduate Teaching Assistant” when the student is performing duties for the academic mission (e.g., grader, TA, Instructor). For students hired in other capacities, the student should be classified as a “Graduate Research Assistant” when they are performing duties that support the research and operational mission (e.g., research assistant, graduate student worker).

Endowed E-Signatures

We are excited to announce that through coordination with the Office of Advancement-Compliance, a digital signature process was implemented for the Endowed Chairs and Professorships appointment form. Reviews of and searches for Endowed Chairs/Professors will still take place in Interfolio.

If your department has outstanding appointment forms for the current fiscal year or planned appointments beginning in July 2020, please contact Amelie Lanaux or Rachael Isle for further information.

Faculty Title & Org Changes

The Provost's Office will now process faculty title and organization changes directly in HCM. Please click on the stamp for more information on how to request a faculty title or an organizational change. Please note that approval is needed from the Dean's office before any changes can be made. A PDF of the approval can be uploaded directly to the form.

Questions regarding these forms can be directed to Kathleen Moises, Budget and Administrative Coordinator II. Any inquiries for changes beyond these two types can be directed to HRIS.
