Are you responsible for file creation and submission for your agency?
TRSL requires reporting agencies with more than 25 employees to submit member information (earnings, contributions, etc.) by data file submission either through direct upload in EMIS or encrypted FTP.
- Those responsible for creating and/or submitting an agency’s data files should review transaction layout and file record size (character length) specifications for each type of data file.
- TRSL urges employers to pay special attention to data length field for any numeric values that represent earnings, contributions, or sick leave days used.
Formatting specifications require an implied decimal point for these types of data (see table below).
EXAMPLE: When reporting earnings amounts on the (RET) annual salary file (due each year by August 15), the length of this data field is nine numeric characters and the decimal point is implied (i.e. 7.2 for numeric character value).
- To report a member’s earnings of $32,550 on the (RET) annual salary file, the data must be reported as 003255000. If earnings are, instead, reported as 000032550, the transmitted data will be read as $325.50 due to the implied decimal position.
Inaccurate data on the RET annual salary file may cause discrepancy inquiries from TRSL. Employers should review their data files before submitting to TRSL to ensure accurate data is provided.
