OFFICE OF INCLUSION, EQUITY, AND DIVERSITY

The Office of Inclusion, Equity, and Diversity (OIED) would like your help with a compliance assurance matter that involves the display of workplace posters (i.e., federal; state) in office suite common areas (i.e., break rooms; conference rooms). To be clear, OIED is not asking that you go out and purchase these workplace posters/flyers; however, you will need to print the posters/flyers and display them on a bulletin board or make them available in a conspicuous notebook. The posters/flyers are free.
These posters/flyers address state and federal laws and are accessible on the OIED webpage under the heading of "resources". Please communicate and share this information with the direct reports in your respective areas since this is a matter of compliance assurance. More specially, state auditors may ask when visiting higher education institutions where these posters/flyers are on display or accessible.

Service Contracts with Regional One
|
For service contracts with Regional One Health for Medical Research Services, please forward the draft agreement to Dr. Amira Wohabrebbi prior to adding to ESM. For contract amendments, please forward a copy of the existing agreement in addition to the proposed amendment. All draft documents sent to Dr. Wohabrebbi should be in Word Document format.

HSC Accounts Payable Correspondence
|
To better serve the campus and provide more visibility to accounts payable questions and issues, HSC AP is request HSC Staff to send all accounts payable correspondence to uthscap2uthsc.edu. This includes direct bill T25 request and all refund request forms. One of the HSC Accounts Payable staff members will respond to your inquiry within 24 hours. In cases of emergencies or very time critical issues, please call one of the HSC Accounts Payable staff members for assistance. Submit all other correspondence to the group email account, uthscap@uthsc.edu.

Concur Continuous Improvement
|
The following updates have or will be applied this month. Have an improvement suggestion? Be sure to submit the Concur Feedback survey when recieved, it will prompt routine feedback. Responses are sent directly to Concur and may influence future changes.

A new landing page will alert users of system issues and indicate module outages. For additional information concerning service disruptions or issues, check the Concur System Status posting or contact travel@tennessee.edu.
- A new travel booking experience for airfare, lodging, and car rental improving the layout and details visible in search returns is set to roll out later this year.
- Expense reports returned by the processor will display an updated status of "returned" instead of "not submitted".

The lodging expense type check-in date and check-out date fields will be changing from two seperate date fields to a single date range field.
- The expense report details drop-down, which includes access to the report heading, timeline and audit trail, will now be reordered based on the last viewed item rather than defaulting to alphabetical.

Please join Human Resources on Wednesday, September 27, from 10:00 am – 1:00 pm in Madison Plaza for the Employee Benefits Fair. The first 200 employees to attend will receive a UTHSC cooler. The Benefits Fairs is a great way for faculty and staff to discuss their plan options with representatives from Medical, Dental, and Vision Plans.
Annual Open Enrollment is October 1 – 13. Employees have two business weeks to make changes. If you have any questions please contact the Benefits office at 901.448.5601 or mybenefits@uthsc.edu.
