Escalation for P-Card Verifications |
Important Changes and Reminders for Verifying P-Card Transactions in Workday |
Thank you to faculty and staff for your continued efforts in adapting to the P-Card verification process in Workday. While most transactions are being verified and approved on time, some remain outstanding and require follow-up.
Beginning in August, Procurement Services will resume the escalation process for outstanding Procurement Card Transaction Verifications (PCVs) and approvals. Escalations will be based on the transaction billing date:
|
-
Outstanding for 0-44 Days: Reminder emails will be sent to cardholders with outstanding transaction verifications or PCV approvals, requesting completion of required actions as soon as possible.
- Outstanding for 45-60 Days: The cardholder's manager will be included on escalation notifications for outstanding transactions and approvals.
-
Outstanding for 60+ Days: Outstanding items will be escalated to the cardholder's manager and Dean/VP. The P-Card credit limit will be temporarily reduced to $1 until all required verifications and approvals are completed. Once the account is current, an RSC ticket may be submitted to request reinstatement of the credit limit.
-
Outstanding for 75+ Days: Accounts with unresolved transactions will be reviewed for potential P-Card cancellation.
|
Cardholders can use the My Procurement Card Transaction Verifications report in Workday to identify outstanding transactions that require action. Please also work with your designated approver to ensure PCVs are reviewed and approved promptly.
Additional resources can be found on the Procurement Card web page and within the Procurement & P-Card category of the RSC. If you require assistance, please contact the RSC or Submit a Ticket. We are happy to help and support you as you navigate the process.
Thank you for your partnership in maintaining a compliant, efficient, and well-managed Procurement Card program.
