Your first on-campus job!
Your first on-campus job!
Hello from the Office of Immigration Services!  We are very excited to welcome you to campus next month.  In advance of Pre-O, there are a few employment-related steps we need you to take in Workday.

Pre-O Assessment Participant Job

In order to be eligible for a Social Security Number (SSN) once you are in the U.S., you will need a job.  You’re invited to apply for the Pre-Orientation Assessment Participant (Fall 2023) job in Workday!

Please submit your application in Workday before August 18, 2023.

Eligibility: This short-term job is only available to New International Student Pre-Orientation participants.  U.S. work authorization is required.  All F-1 and J-1 visa holders are eligible.  U.S. citizens and permanent residents are eligible.  Those in other visa statuses who hold an EAD/U.S. work authorization are eligible.  If you are not sure whether you hold U.S. work authorization, feel free to check in with the OIS.

How to apply: Check out Amherst's Initiate a Student Job Application instructions to learn exactly how to apply for a job in Workday.  Please note that a cover letter, resume, and references are not required for this particular job application.  If you are prompted to provide this content, please enter "N/A" and/or upload a blank PDF as needed in order to proceed.

SSN: Once you’ve been hired, OIS will help you to apply for an SSN if you do not already hold one.  To read more about the application process, visit the OIS’s Social Security Number (SSN) page.  You will receive further instructions in the first weeks of the semester.

Onboarding Steps: Government IDs, I-9s, and more

Once you've been officially hired for the Pre-Orientation Assessment Participant (Fall 2023) job, you'll receive a number of onboarding notifications in Workday.  You can find more information about many of these prompts at the Student Employment Office's Information for Students page.  Some helpful notes are also included below.
  • Government ID:  In the Edit Government IDs task, the default Workday setting will request your U.S. Social Security Number (SSN).  If you do not yet have an SSN, however, you will need to input a different ID type.  To do this, change the COUNTRY selected to match the country that has issued the national ID you will be reporting.  From there, enter the data from that national ID.  Later on, once your SSN has been issued, you will update your records and enter your SSN in Workday.

  • I-9: In addition to completing the I-9 tasks in Workday, you will need to present your identification and employment eligibility documentation in person to the Student Employment team to complete the I-9 verification process.  This in-person identification verification will be completed at Pre-O's On-Campus Employment: Hiring and Onboarding Process session on Monday, August 29.

  • M-4 and W-4: These forms will be touched upon at Pre-O's On-Campus Employment: Hiring and Onboarding Process session on Monday, August 29. If you have general questions about either of these forms in advance of the session, you may reach out to the Student Employment Office at seo@amherst.edu.

Payment: What to expect

Students hired for the Pre-Orientation Assessment Participant (Fall 2023) job will receive a one-time payment of $10 in September.
You will not be asked to enter any hours of employment for the Pre-O Assessment Participant job.  However, for most other on-campus jobs, you will be expected to track and submit your employment hours in Workday.  Keep this in mind for any future jobs you may pursue—the tracking of hours required for most other jobs will  differ from this particuar Pre-O job.
