There is a new budget and planning tool coming to campus in March, 2023!
With the implementation in full swing, we know you have questions. The list of FAQs below is the first in a series that will be sent out at least monthly to keep you up-to-date. This first set of FAQs are intended to give you a broad understanding of the project, timeline and training. Future FAQs will provide more details about additional topics.

| What do I need to know?
The University is transitioning to a new budget & planning tool in March, 2023. Regular updates on the implementation, training and other relevant information will continue to be shared with you on a regular basis through go-live.
What is the current status of the project?
The requirements and design phase of the project is complete. The tool is currently being configured and customized for ND, which will continue through December.
What are the next steps?
System testing will start in January and training will kick-off in February.
Will I still have to plan in multiple scenarios?
No, a new process called Continuous Planning will be introduced, providing a more efficient way to plan and a simpler user experience. Continuous planning will integrate our 4 current scenarios (adopted, adjusted, forecast, multi-year) into one planning area.
What are some of the new features?

- One single, continuous plan or ‘scenario,’ so you only need to enter new information once into your plan.
- An intuitive interface and real time calculations, so the tool is easier to use.

Landing Pages, which will provide navigation to reports and templates and also include charts and tables of planning data and KPI’s (Key Performance Indicator)

We encourage and welcome your questions! Please submit these to budget@nd.edu and we will either respond to you individually or incorporate into a future FAQ.

| When will the new tool be rolled out to campus?
We will Go-Live with the new tool in March 2023!
When will we stop using our current tool, Planful?
We’ll transition to the new tool after the Q2 deliverables that are due Jan 19th. Once Q2 reporting is completed in Planful, the forecast data will be copied to the new tool so no planning data will be lost. Planning for both FY23 Q3 Forecast and FY24 Adopted Budget will happen in the new tool.
When will training happen?
Guidance and training on the new tool will be offered in various forms from now through Go-Live in March, 2023.

November thru January: new concepts, tool navigation and functionality will start to be introduced. You will hear about these through newsletters and informational sessions.
- February: required learning sessions will be held for all users.
- March: required hands-on training will be held for all users.

| Who will have access to the new budget & planning tool?
Business Managers are in the process of evaluating access and overall planning needs within their units. Access to the new tool could change within your unit, but we anticipate the majority of users will remain the same. To be granted access to the new tool, there will be required pre-work and required hands-on training for all users.
What type of training will be offered?
The overall training strategy and detailed timing is currently being defined and will be communicated as soon as it has been finalized. It will be a phased learning approach: Introduction to some of the functional and navigational enhancements through newsletters, screenshots, videos, informational meetings, etc. This will be followed by several learning sessions and hands-on training. This phased learning approach will enable you to consume information about the tool (processes, functionality, navigation, terminology, etc.) in multiple, shorter learning opportunities over an extended period of time, rather than absorbing all of the information in one, long training session.
What can I do to prepare for the new budget & planning tool?
The best way to prepare is to actively review the information and updates that will be shared over the next few months through newsletters, videos, learning sessions, etc. Continue to ask (or submit) questions and participate in all the pre-work and training sessions.
