Updated Process For Study Closure in Clinical Conductor

An email was sent on Friday, May 15 notifying research teams of an important update to the study closure process in Clinical Conductor.
Going forward, before a study can be closed, all patient study statuses must be updated to one of the following: Completed, Non-Qualified, Screen Failed, Run-in Failed, or Dropped.
Note, patients should not be deleted from Clinical Conductor, as this will result in loss of historical clinic and financial data.
After the patient statuses are updated, a study is not officially closed until the ACTRI Clinic Operations team has been notified. Please email Jesse Lora at JcLora@Health.UCSD.edu. Failure to notify may result in an additional annual renewal charge.

Failure to provide these documents at the time of submission will result in delays to the review process and may subsequently delay study startup activities at the ACTRI Clinic.
The requirement of these documents will be incorporated into an upcoming standard operating procedure (SOP).
Please ensure that both documents are included with all future Clinic service requests to help avoid unnecessary delays.

CCR Rates Are Competitive: Introducing Our First Market Analysis |
We're excited to share the results of CCR's inaugural market analysis — a benchmarking review designed to ensure our service rates are fair, transparent, and aligned with peer institutions. The findings are encouraging: ACTRI's rates are competitive and sustainable across the board.

Rate adjustment: Our proposed 5% increase across most service categories is consistent with or below annual adjustments at peer UC and Research Unit Network (RUN) institutions.
- Nursing & phlebotomy: Rates are well-aligned with market norms.
- CRC rates: Aligned with peer institutions, though federal study rates present a cost recovery challenge we are actively monitoring.
- CTSS regulatory support: Our hourly model compares favorably to bundled-fee programs at peer institutions for straightforward studies.
- Areas to watch: We identified opportunities for future consideration, including room rate realignment and a closer look at Nurse Practitioner (NP) pricing.

CCR Team Building & ACTRI All-Team Luncheon |
On July 15, CCR staff will be participating in an all-team luncheon and team building activity. Most staff will be unavailable, however all currently scheduled visits will be conducted as planned.

ACTRI is seeking a Clinical Operations Supervisor (Position #139965) to lead clinical research operations and laboratory services within the CCR Clinic. This role oversees day-to-day operations and staffing, ensures compliance with research and regulatory requirements, and supervises clinic laboratory and operations staff. Key responsibilities include patient registration, scheduling, medical records, insurance authorizations, facilities management, and clinical support services — all in support of efficient, high-quality research.

The CTSS team supports investigators with industry-sponsored clinical trial invoicing — from reviewing trial agreements and creating invoices to tracking payments and reconciling accounts at closeout. Requests are encouraged during study start-up, though retrospective reviews are considered case by case. Contact actri-ctss@health.ucsd.edu to learn more.
