RSO: COVID-19 Updates

We are writing to provide you with new changes and updates in light of the latest update from George Mason University’s President (https://www2.gmu.edu/coronavirus) to extend online learning through the end of the semester.  

Student Involvement Office Closure

As of March 18, 2020, the Student Involvement Office will be closed, and all Student Involvement staff will be working virtually through the end of the semester. 
Our team utilizes email, phone calls, and virtual meeting invites.

EVENT UPDATES


Events Cancelled through May 22, 2020

No contracts or event submissions for in-person events will be approved prior to May 22, 2020.
All RSO in-person campus events held through May 22, 2020 have been cancelled.
  • RSOs are expected to contact all external vendors/performers associated with their event to let them know it has been cancelled.
  • Contracts for events held through May 22, 2020 will not be signed by the University.
  • The SI Budget Team will void all submitted purchase orders (POs) for events held through May 22, 2020.
  • University Events will cancel all 25Live room reservations through May 22, 2020.
  • The RSO Lead Team will cancel all Mason360 RSO events held through May 22, 2020.
    We regret any inconvenience and disappointment this may cause. The health and safety of our community is, and will always be, our top priority. 
    In consideration of social distancing, we strongly discourage holding events off campus. Any events held off campus will not be funded by the University. 

Further Events Must be Virtual

If you need help with making a virtual event, please contact the RSO Leadership Team (RSO@GMU.EDU) to discuss possibilities.
  • If you are conducting virtual meetings/events - Email us a screenshot/photo and/or tag our office (@masonpatriots)!
Make sure all event submissions in Mason360 held through May 22, 2020 show 'Virtual' in the "event type". These events will be approved upon verification of the event details that must include links for virtual intentions.

SFB UPDATE

Student Funding Board will resume meetings virtually, starting March 23rd. Unfortunately, due to the remainder of the semester being moved online, we will only be able to fund events that are fully online/virtual. For current and future applications: 
 
  • SFB will send out denials to all events that do not meet online/virtual criteria.  
  • If you believe you are able to make your event virtual, you may appeal via email by replying to the original allocation email. DO NOT fill out a new application, this will only delay the process. 
    • SFB will need a detailed plan on how your event will be moved to a virtual space. 
    • The event will need to be entirely online. No in person gathering of any kind will be funded. 
  • SFB will generally be allowing postponements for events as long as there is a detailed plan to execute the event online. However, your event’s funding may be reduced depending on the items originally funded (see next bullet). 
  • SFB will not fund any item or vendor that would require person to person interaction (i.e. food/catering, decorations, mechanical parts, event servicesetc). 
  • SFB will not fund travel requests 
  • Any applications submitted late between March 13th and March 27th, will be reviewed on a case by case basis. Flexibility on late applications will be given when possible based on the reason for the late application and feasibility of the program/event.

RE-REGISTRATION & ELECTIONS

May 1st is the re-registration deadline, and we are asking all RSOs to complete their elections before this date in order to allow the new officers to submit the Mason360 Re-registration form. 

Our team will also be sending out more information about virtual elections and how to implement them. This information is being gathered and should be (at the latest) available by Monday, March 30th. 
Unfortunately, these are steps that the University had to take to protect the community’s health and safety.  We appreciate your patience and flexibility as we go through this process. Please keep in mind this is a very fluid situation. Details, expectations, and guidance may change on a daily basis. We will make sure to update you all as soon as possible.  

We know this is a time of uncertainty, and while we don't have all of the answers at this point, we are happy to assist you and your members as we navigate it together.
