What's New in Workday | April 2026 |
|
|
|
As part of our transition to Workday, you can expect regular updates highlighting key system changes, enhancements, and optimizations. Because Workday is a SaaS (software-as-a-service) platform, it will continue to evolve, with formal releases twice a year (typically in March and September) and ongoing improvements aligned with university needs.
These updates are designed to keep you informed as a Workday super user, helping you navigate changes confidently and make the most of the system in your day-to-day work.

1. Use “Create Position” for New Roles |
When establishing a new position (position management) in Workday, always use the Create Position task.
Do not create and add new positions through Recruitment as part of the requisition process. For accurate tracking and effective management of positions, always rely on the Create Position task.
This approach streamlines the process and aligns with Workday’s best practices.

2. Use Hire Student for Faster Student Hiring |
Exciting News! Thanks to your feedback, we’re introducing a more streamlined student hiring process.
Effective May 1, while current functionality allows, departments can use the Hire Student task to bring students on board without requiring a Recruiting requisition, making the process faster and more flexible. Please note that future system updates and functionality may change our ability to use the Hire Student task.
Of course, Recruiting functionality is still available for departments interested in recruiting students either through an Evergreen Requisition or a Standard Job Requisition. Here’s a quick guide to when to use each:

Evergreen Requisition: Open Posting for High-Volume Student Jobs
For frequently open or high-volume student jobs, Department Recruiting Support creates an Evergreen requisition to build a candidate pipeline. - Student Employment Requisition: For Fewer Student Job Openings
If there are fewer than 10 openings and there is a need to recruit students, Department Recruiting Support creates a standard requisition using the Create Job Requisition task.

Note: The student MAY NOT BEGIN WORK until the onboarding steps are completed. The hiring manager must review the Onboarding Business Process Status Summary to identify any outstanding items before scheduling the student to work. Students may refer to their Onboarding Dashboard.

3. Graduate Assistant Student Hiring Updates |
When hiring a Graduate Assistant (one of the four profiles available in the “Student” job family group), please follow these requirements for Graduate School approval:

- Include the stipend amount in the Comments section for Graduate School visibility
- Attach the required Graduate Assistant Agreement & Terms of Work Form

Be aware of the recent update from the Graduate School:
- Beginning with the 2026-2027 academic year, The University of Mississippi is switching to a standard 9-month appointment with a minimum stipend of $15,000 for half-time graduate assistantships (the minimum stipend for quarter-time graduate assistantships will be $7,500).
- This change aligns the graduate assistantship appointment period with the timing of faculty contracts, spreads compensation for graduate students out over 9 months, and is consistent with the way that other universities appoint graduate assistantships.

The Graduate School will host multiple Q&A sessions on this change to answer any questions you have. The first Q&A session, which will include a discussion of Workday processes for graduate assistants, will be on April 27 from 3:00 to 5:00 pm in Coulter 211.

4. 10-Day Notice Required for Faculty and Staff Hires |
To ensure a smooth onboarding experience for every new hire, we are returning to the practice of requiring offer approval forms to be submitted and approved at least 10 calendar days before the start date. This advance planning allows us to prepare effectively and deliver the best possible start for each new team member.
These ten (10) days allow for the candidate to:

- Receive and accept the electronic offer letter
- Submit the background check details with enough time for completion
- Complete the online new hire documents, including locating and providing acceptable forms of identification
- Provide sufficient notice to their current employer
- Experience a smoother first day (key to retention) due to departmental preparations
|
Refer to the Hire Dates calendar to find appropriate start dates. If an offer approval is received after noon on Friday, the start date will be adjusted to the next available Monday (or Tuesday if a holiday falls on the Monday).
Additional flexibility may be considered for internal hires/transfers. Please contact your HR Business Partner to discuss start dates that do not align with the Hire Date calendar .
