Hello! As we prepare for the start of the Fall 2025 Quarter, the Third Party Billing Office would like to share several important updates and deadlines. Please read through this message carefully to ensure a smooth start to your academic year if you are sponsored by a third party.

📧 New Contact Email – Starting August 1, 2025

To improve service and streamline communication, we are now using one email address for all third-party billing questions and concerns:

Emails sent to this address will automatically create a Service & Support ticket, allowing our team to track and respond to your request more efficiently.
The previous undergrad3rdparty@ucsd.edu or grad3rdparty@ucsd.edu address will no longer be active starting September 1st.

📝 New Required Financial Guarantee Form
|
Beginning Fall 2025, all financial guarantees must be submitted using our new online form. Email submissions will no longer be accepted.
🗓️ The submission period opens August 1, 2025
🗓️ The deadline to submit guarantees for Fall 2025 is September 24, 2025
|
After we receive your form, we will send you a Billing Authorization Form via DocuSign, which you must sign before we can apply credits or invoice your sponsor.
👉 Remember! You need to sign a Billing Authorization via DocuSign every new academic year, so please turn in a new Financial Guarantee to receive a DocuSign via email!

📅 Deadline to Submit Health Fee Waiver

Check if your sponsor provides your health insurance outside of UC San Diego. If so, you will need to submit a waiver.

| ❗ Cancellation Date for Non-Payment
|
- If your financial guarantee is not submitted and sponsor credits are not on your account, you may be dropped from your classes for non-payment.

If you are unable to submit your documents by the deadline, please submit a ticket to notify us of your situation before the deadline.

| September 29th is the late registration fee payment deadline
|
(To avoid being dropped from enrolled classes or waitlisted courses)

If you are dropped from your classes, DO NOT RE-ENROLL IN YOUR CLASSES AND REACH OUT TO US.
- Waitlisted classes are an exception! If you were waitlisted, re-enroll in your waitlisted classes immediately!
- You can call our office at (858) 822-4727 to get in contact with us immediately.

We CANNOT place you into the waitlist place you were in before you were dropped. Unfortunately if you were at the top of the list, and are dropped to the bottom, there is nothing we can do to put you back on the top of the waitlist since you were never enrolled in the class

We cannot guarantee that we can get you back into your original classes. If you were dropped due to an administrative error or a specific circumstance that warrants re-enrollment assistance, we will do our best to help.
