Welcome back! The Office of the Vice President for Research, Scholarship and Creative Endeavors has been hard at work this summer getting two new modules of the UT Research Management Suite (UTRMS) launched and functioning smoothly for the start of the 2022-2023 academic year. The new modules, UTRMS-Grants and UTRMS-COI (Conflict of Interest), are essential tools in the modernization of research management that will allow UT to lead into the future. Researchers and staff can use UTRMS-Grants to create proposals, develop budgets, and manage proposal submissions and awards. UTRMS-COI replaces eProtocol for managing research disclosures and is the new portal for submission and review of Faculty Outside Activities.
UTRMS-Grants has two main sections, one for the creation and submission of funding proposals, and one for the management of awards. The section for the creation of funding proposals is an active workspace that can be shared by key members of the team to build and refine proposals and proposal budgets, and collect required documents for review by the Office of Sponsored Projects prior to submission. When a funding proposal is awarded, information from the funding proposal flows directly into the new award. Updates and changes can be made in the awards management section, and your award information is organized in one portal from the initial proposal through the end of the award.
UTRMS-COI is a single location for faculty and research staff to complete their annual FCOI disclosures, ensure accurate disclosure status with each new research project, and submit Faculty Outside Activities. The integration between COI, IRB, and Grants modules allows automatic notifications and reminders to be sent to study team members when actions are required. Faculty and research staff should not enter the COI module until prompted to prevent duplicate tasks. You will receive an email with an embedded link requesting that you complete your annual disclosure in UTRMS-COI. Unless completing a Pre-Approval Request, no action is needed on your part until you receive this email. New hires who are required to disclose will receive this request within 30 days of hire.

These major changes to UT research management are designed to reduce the administrative and regulatory burden on investigators and improve data integration and reporting capabilities. The UTRMS-COI module supports the implementation of the updated HOP 5-2011 requiring annual disclosure by all faculty and PI-eligible staff.
