It’s almost that time of year again! While we are still waiting on specific details from the state, please mark your calendars for the Summer Enrollment period: June 22 – July 24.

Organizational Development |
We are excited to announce that registration is now open for April's professional development session: Managing Difficult or Emotionally Charged Conversations.
This session will equip participants with practical communication strategies that supports clear, respectful, and direct dialogue.

Spring Clean Your Pay & Key Reminders |
April is the perfect time to do some "spring cleaning" on your payroll profile. Ensuring your information is up to date prevents delays and ensures accuracy in your pay and taxes.
 Spring Clean Your Pay
Log in to the Pioneer Portal (Me > Pay/Personal Info) to review the following:
Direct Deposit: Confirm your bank information is current.
Path: Me > Pay > Payment Methods

| - Mailing Address: Verify your home address for official tax and university mail.
- Path: Me > Personal Information > Contact Info > Address
- Tax Withholding (W-4): Adjust your withholdings if your personal or financial situation has changed.
- Path: Me > Pay > Tax Withholding
- Payslip Review: Check your most recent payslips for accuracy.
- Path: Me > Pay > My Payslips
- W-2 Delivery: Choose your preferred delivery method (Online vs. Paper).

| Deadlines & Timely Reporting |
To ensure everyone is paid on time, please remember:
|

Submit and approve timecards by the published deadlines.
- Late submissions may result in delayed pay.
- Please refer to the Payroll Calendar FY 2026Â for specific dates.

|
Overtime (Nonexempt) & Compensatory Time Basics |
Understanding how your extra hours are calculated:
Workweek: Sunday through Saturday.
Overtime (OT): Earned at 1.5x for actual hours worked over 40 in a workweek.
Note: OT accrues and is paid out after 12 months if not used as “Overtime Leave.”
Example: 48 hours worked = 12 hours of overtime accrued (8 hours over 40 x 1.5).
Compensatory (Comp) Time: Earned when total hours (worked + leave taken) exceed 40 in a week.
Note: This is earned at straight time and must be used within 12 months as “Compensatory Leave” or it will be forfeited.

Summer Assignments & Deadlines |
As we transition into the summer semester, please take note of the following guidelines and key dates for managing student workers, adjuncts, and faculty assignments.
🗓️ Important Dates to Remember
April 20: First day to submit summer assignment changes.
May 31: Final day of the Spring semester assignments.
Note: Do not terminate or end assignments for Graduate Workers, Adjuncts, or Faculty prior to this date.
June 1: First day of the Summer semester assignments.
Note: Please do not submit “off-cycle” start dates for these summer assignments.
45-Day Rule: Please remember not to submit any changes (including terminations) more than 45 days prior to the effective date.

Processing for new employees starting on June 1st will begin on April 20.

Notifications: Once processed, a notification will be sent to both the new hire and the line manager.
- IT Setup: New hires will receive instructions from IT at that time on how to register for their TWU email account.

- If they’re being hired into TWU for the first time, a new requisition is required for them to be hired into. Here’s a list of steps to follow.

If they’ve been dormant, please have the department issue an add assignment / change assignment. No requisition is required.Â

Temporary / Hourly Staff:

Compliance Reminder: Dual & Outside Employment |
To ensure transparency and compliance with State of Texas regulations and the Ethics Policy, TWU requires all employees engaging in dual or outside employment to disclose these activities.
What You Need to Know:
|

Dual Employment: Applies if you hold two or more positions with State of Texas agencies or universities. This must be disclosed to both institutions to ensure proper handling of benefits, retirement contributions, and the Fair Labor Standards Act (FLSA).Â
- Outside Employment: Applies to any employment outside of state agencies.

Approval: All dual or outside employment is subject to review by your immediate supervisor to ensure there are no conflicts of interest or interference with your TWU obligations.
|
- Disclose: Inform your supervisor and the other state agency (if applicable).
- Form: Complete the TWU Dual or Outside Employment Form.
- Approval: Route the form to your immediate supervisor for their signature.
- Submit: Send the final approved form to hr@twu.edu.

Annual Update: A new form must be submitted each fiscal year for as long as the employment continues.
