Purpose of Migration & Launch of Sunapsis

On March 18, 2024 the International Services and Engagement Office (ISEO) will migrate to a new international case management software, Sunapsis, which is already being used by our Division of Extended Studies (DES). Sunapsis will fundamentally transform the way we do business; examples of this include:
- Having one system to intake and process student and scholar requests;
- Reducing processing times and increasing advising capacity by connecting to campus information systems for quick integrations; and
- Improving user experience and transparency.

Migrating to this new system is a significant undertaking, given the scope of UC San Diego's international population and the critical nature of the data being migrated. We must ensure continued data integrity, functional interfacing with SEVIS, and appropriate training for all parties using the new system; some of this work will necessitate freezing our current system, during which we will not be able to process standard requests.
Below is a breakdown of key dates for our partners:
- February 16, 2024 at 4:00PM - Deadline to submit the following requests to ISEO to receive prior to system freeze:
- J-1 Initial/Extension/Amendment/Transfer-In
- March 1, 2024 at 4:00PM - Deadline to submit the following requests to ISEO to receive prior to system freeze:
- March 2, 2024 - ISD access locked
- March 2 - March 8, 2024 - ISEO scholar advisors processing cases received through March 1, 2024
- March 11 - March 15, 2024 - No case processing by ISEO scholar advisors—only urgent matters will be addressed
- March 11 - March 15, 2024 - Training for departmental users
- March 18, 2024 - Sunapsis Live! Submit requests via Sunapsis
**The timelines provided are based on complete requests; we will make every effort to continue to process within our current processing timelines.**

How might this impact you?
|
|
|
During the March 11 to March 15 processing freeze ISEO will only process requests for urgent matters, specifically those with payroll or status continuity issues. All other urgent requests will be assessed by the advisor on a case-by-case basis.
Due to the potential government shutdown on March 8, 2024, we have asked all departments to submit H-1B requests with a start date between now and May 31, 2024 by February 14, 2024 to ensure the Labor Condition Application (LCA) can be certified prior to March 08, 2024. This would allow ISEO to submit H-1Bs for those cases, even if a government shutdown were to occur. Any cases submitted via ISD between February 14, 2024 to March 01, 2024 will be assessed by the advisor. If a government shutdown occurs, we will continue accepting H-1B submissions. However, we will not be able to submit the H-1B petition to USCIS until the government reopens and an LCA can be filed and certified by the U.S. Department of Labor. Sunapsis Launch: What to Expect
|
|
|
ISEO will be holding training sessions to introduce departments to the new system and to demonstrate how requests will be submitted once Sunapsis is live. ISEO will be sending out information regarding trainings once the details are finalized. Department trainings will occur from March 11, 2024 to March 15, 2024, during the ISEO case processing freeze.
