Dear HR Partners,
This week, we are beginning to make updates required for the first four job families included in Wave 1: finance, human resources, information technology and research administration.
As part of our multi-year rollout, we committed to a Dec. 1 effective date; however, job code transactions will be keyed once approvals are final. We will need your support to key transactions later this month and expect all Wave 1 updates to be in OneUSG Connect by mid-January.
This email includes details about timing and instructions for Wave 1 implementation.

Executive Approval
On Friday, Nov. 22 Wave 1 Executive Sponsors for each job family received a final draft of the Wave 1 Crosswalk for their final review. We've asked them to provide feedback on substantial changes to the crosswalk by Wednesday, Dec. 11. As we receive updates from executive sponsors, we will share them with you. This should represent minimal changes but may include job titles, career levels, and compensation structure updates. As we implement job families, there will be no direct impact on employee salaries (no demotions or promotions).
Communication
This week, we will begin emailing weekly updates to relevant stakeholders in the following order:
HR Partners and Executives > People Leaders of Wave 1 Employees > Wave 1 Employees. We’ll provide talking points and post updates to our Job Families website. We will email people leaders and Wave 1 employees later today. We appreciate your candid feedback; it has helped reshape our approach. Here are some resources with helpful information.

Supporting Documentation
Later today, I will send you files containing:
|
-
a copy of the crosswalk draft in its current iteration,
- a list of impacted employees in your areas – their current titles, their proposed future titles
|
Next Steps
We will use Smartsheet to host all this information so that we can provide real-time updates. Please review this list with the appropriate business leaders and identify any missing employees, then add employees into one of the two categories below.
|
- WAVE 1 READY
Employee is currently in the right job and will be "crosswalked" to a new job title. Employees identified as "WAVE 1 READY" will move from their current role into an equivalent role in the new job family.
- NOT READY
Employee is currently in the INCORRECT job and should NOT be "crosswalked." All supervisors of employees in an incorrect role should partner with their direct manager, unit executive, and finance and HR partners to identify a solution. This option represents a possibility of reclassification due to a strategic need of the unit/department or identifying the correct role for the employee. For each employee identified as "NOT READY," the unit should have a solution for how they plan to navigate forward by Friday, Dec. 13.
|
While you are reviewing the list, also consider the following:
|
- Is a reclassification needed?
This means the employee is currently in the INCORRECT job and should NOT be "crosswalked." A new job title aligned with the employee's responsibilities has been identified. This could represent a higher level, lower level, or different job title. This transaction will happen after the job families' transactions, beginning January 13, 2025. If this action does result in higher pay, the unit is responsible for funding.
-
Are any employees missing from the list?
If there are employees in your business unit who are in roles transitioning in Wave 1 and are not on the impacted employee list, please inform Cedric Franklin, and he will add them.
- Do you have significant feedback on the crosswalk?
If leaders provide you with feedback on the overall crosswalk or job title changes/recommendations, advise them that the executive sponsors are currently identifying substantial changes needed before implementation. Please note their feedback and review with the appropriate executive sponsor by Dec. 11.
|
The employee lists should be updated with your feedback by Friday, Dec. 13.
