Thanksgiving Early Closure Information

Dear Colleagues:

As an expression of gratitude to employees who remain on the job up until the start of the Thanksgiving holiday break, Ball State is offering an early closure on Wednesday, Nov. 27, with payment for the full shift provided, contingent on the criteria outlined below. All professional, staff, and service employees working this day may leave four (4) hours early and still be paid for the full shift. Employees not scheduled to work this day, as well as those who have chosen to take the full day off, are ineligible.

Departments have discretion to adjust schedules and lunch breaks as needed to accommodate the early closure. Supervisors, please refer to the criteria below to determine which of your employees qualify for the four (4) hour early release. UKG timekeepers and supervisors, please correct any timecard exceptions, including missed punches, and enter any Service PTO/IPB prior to noon on Nov. 27.

After noon on Wednesday, Nov. 27, the pay code “Regular BW Hourly” will automatically load into timesheets for those who meet the following criteria:

Professional and Exempt Employees: Physically work four (4) or more hours on Nov. 27. Those that will take vacation and/or sick time must use eight (8) hour increments.
Non-Exempt Staff: Physically work four (4) or more hours on Nov. 27.
Service Personnel (1st and 2nd shift workers): Must be in pay status for four (4) or more hours on Nov. 27 and work at least one (1) hour physically prior to the end of their scheduled shift or preceding the early closure. Employees have to be at work at the time of closure.
Service Personnel (3rd shift workers): Must be in pay status for four (4) or more hours with shift start times on Tuesday, Nov. 21, and work at least one (1) hour physically prior to the end of their scheduled shift or preceding the early closure. Employees must be at work at the time of closure.
Part-time and Temporary Employees: Anyone who is normally scheduled to work between noon and 5 p.m. on the early release days prior to the University holiday will not suffer a loss in earnings due to the early closure. UKG timekeeper/supervisors will need to enter employee hours with a maximum of four (4) hours using the pay code “Provisional Pay”.

Once UKG populates the “Regular BW Hourly” pay code on Nov. 27, any corrections from that point forward will require a manual adjustment by UKG timekeepers/supervisors.
