WolfieONE Project Update: Next Phases, Revised Timeline, and Budget Model Clarification
As we continue the vital work of modernizing Stony Brook’s infrastructure through the WolfieONE project, I would like to update the campus community concerning the next steps that we will take to achieve a new go-live with a thoroughly tested system.
Waiting for training? Don’t panic! We are moving through several critical phases in the project before training will roll out.
Revised Project Timeline
Since kicking off this initiative in September of 2023, our teams have been working to achieve many important milestones, which I would invite you to read about in a recent newsletter from the Office of Change Management. We have made great progress, and are preparing to transition into several critical phases over the next year:
- Build Phase Closes: The core build of the WolfieONE system across all functional and technical areas will officially conclude.
- System Integration Testing: Formal system testing will resume with our fourth round of integration testing (SIT4) as well as payroll testing to ensure all components work seamlessly together to execute end-to-end processes.
- User Acceptance Testing (UAT): Following testing, we will move into UAT, which will provide broader opportunities for users to interact with and validate the system.
- Training Kickoff: We will be utilizing a "Train-the-Trainer" model. Our implementation partners will thoroughly train our Stony Brook Subject Matter Experts (SMEs), who will then lead the training rollout for the rest of the institution.
- New Targeted Go-Live: Our prior go-live date of July 2026 will move out to accommodate this robust testing, training, and change management schedule. As we continue to refine the timeline, we will communicate changes.
Clarification on the New Economic Framework (NEF) & WolfieONE
We want to address some common points of confusion regarding how WolfieONE intersects with our new budget model, the New Economic Framework (NEF). Importantly, the NEF will be implemented for FY27, beginning July 1, 2026. We have leveraged our current system, the Campus Budget Module (CBM), to stand up the new incentive-based model ahead of the WolfieONE launch. Because certain components of the budget model are being delivered through the WolfieONE platform—including Profitability and Cost Management (PCM), a cloud-based application within the Oracle EPM (Enterprise Performance Management) suite—many have wondered about conflicting launch dates. To clarify:
- October 2026 (Limited PCM Release): PCM—the first application to go live in WolfieONE—will launch for a limited audience, specifically the Budget, Financial Planning & Analysis (BFP&A) division and the Budget Officers Committee, to begin FY28 target setting and budget requests.
- Spring 2027 (Campus-Wide EPM Release): Detailed EPM budgeting will roll out to the full campus community through Spring 2027, aligning more closely with the final WolfieONE system launch.
While the NEF is ahead of the complete WolfieONE implementation, we did not want to delay the start of our innovative new budget model. Throughout FY27, budget management activities will continue using current systems and processes while WolfieONE is finalized.
