Good Afternoon Stony Brook Colleagues,

Finance & Administration and the Office for the Vice President for Research have been working to enhance and streamline travel needs for Stony Brook University, Stony Brook Hospital and the LISVH through partnering with Direct Travel (DT). As part of the next phase in our partnership, we are excited to announce that beginning on December 1, 2022, travelers will now have the ability to book travel needs independently, and completely online, via Concur.

Enhanced Travel Booking Processes
On December 1st, Stony Brook travelers who would prefer to book their travel needs online (airfare, train, hotel, and rental car reservations) will be able to use a travel booking tool in the Concur platform, supported by DT, to make their travel reservations. The tool will also allow Concur users to delegate travel arrangements to members of their staff, as well as complete guest bookings (students, candidates, guest speakers, etc.).

Travelers may also continue to use DT’s 24/7 agent-assisted booking services, available via phone call, for their travel needs (this process is generally recommended for complex travel arrangements). We are strongly urging all Stony Brook travelers to book travel through this new online booking tool in Concur, or through DT’s agent-assisted phone services, to take advantage of benefits including:
  • Customer support: 24/7 customer assistance for all local and global travel
  • No transaction fees: Stony Brook will centrally pay DT’s transaction fees ($4.95 per online booking and $14.95 per agent-assisted booking)
  • Payment flexibility: Travelers can book travel either on a University-issued credit card or a personal credit card
Important note: Stony Brook University Finance & Administration employees, including DoIT, will be mandated to use the Concur/DT online booking tool or arrange travel through DT’s agent-assisted phone services. 

Travel Using Sponsored Research Award
We strongly encourage travelers using sponsored research awards administered through the Research Foundation to book their travel using these services provided by DT. However, travel may also be booked independently, with travel expenses submitted through Concur for reimbursement.

Training 
The Travel Office will be hosting a virtual training to review this information on Thursday, December 1, 2022 at 1pm. At that time, please log on to the Zoom meeting.
