The close of fiscal year 2025 is nearing, and the Georgia Tech financial community is invited to attend the FY2025 Year-End Town Hall to discuss processes, procedures, and deadlines for a successful year-end close.

Shantay Bolton has stepped down from her role as executive vice president for Administration and Finance to pursue new opportunities.

Guidance for Units if Federally-Sponsored Programs are Paused
|
With recent federal communications and executive orders to stop or pause some federally-sponsored research programs, Administration and Finance is collaborating with teams in Georgia Tech’s research enterprise to provide guidance on appropriate next steps for the impacted awards. This guidance is designed to assist principal investigators (PIs) and supporting administrators when they receive notifications from sponsors to stop work or review activities.
A Decision Tree has been created to help PIs navigate the initial process, and a supporting administrative guidance provides more detailed instructions on how to proceed with financial and where appropriate, transactions on impacted grants.

Procurement and Business Services Continues to Streamline Requisition Approvals
|
As of Monday, February 17, requisitions with asset spend categories no longer require approval from the Asset team. This change aims to streamline the requisition process and reduce cycle times.
The Asset team will continue to review invoices to gather all necessary information for asset registration, eliminating the need for a duplicate review.
Requesters must still select the correct asset spend category to ensure accurate accounting and tracking of equipment purchases. Failure to select the correct category may result in assets not being properly tracked or accounted for.

New Ordering Process for Dell Marketing
|
When ordering technology items from Dell Marketing, purchasers should use the Dell punchout by selecting "Connect to Supplier Website" during the requisition creation process. Purchasers should avoid using the non-catalog option, as this may delay your order.
While shopping in the Dell punchout, if you need to go beyond standard configurations to create your own e-quote, email Kyle Helms to secure the lowest rate. He can also guide you on using Dell Premier to create your own requests for quotes. Once you have your quote, you can enter it through the punchout.

Office of the Bursar Introduces Streamlined Non-Student Invoicing Requests
|
The Office of the Bursar is introducing a more user-friendly and efficient process for submitting non-student invoicing requests. These requests, which could include travel, consulting, or waste management invoices, will now be submitted through ServiceNow, which will enhance transparency and accountability for all departments.
With this new system, departments will now be able to:

- Track the status of their requests in real time
- Know when invoices are processed and sent out
- Review invoices for accuracy
|
