An important message regarding distance learning
Dear Middle School Parents,

This past Friday, our entire faculty and staff engaged in a very important day of professional development in preparation for our launch of Virtual Haverford and our Middle School’s Virtual Village on Wednesday, March 18. In this letter, we have a few points to share. We will continue to communicate on a regular basis and as always, if you have specific questions or concerns, please let us know. Our next email will be on Tuesday afternoon.

1. Virtual Haverford

The Middle Schoiol version of Virtual Haverford, Virtual Village, will have a daily check-in, a virtual homeroom, with your son’s advisor to minimize social isolation as well as encourage appropriate interactions with teachers and classmates. Lessons will be delivered through multiple formats as we learn what works best and what gives us the greatest return on the teachers’ time and the boys’ attention. If there are issues on Wednesday and Thursday, we will adjust. We require boys who can attend to be appropriately dressed, and in appropriate spaces in the home with minimal distractions, just as if they were in school. Hopefully, we will be back in school after spring break, but if not, we will communicate our continued expectations of Virtual Village should we not reopen as currently scheduled on Monday, March 30. 

While we have an assigned schedule for each of the boy’s grade level sections, we understand in the real world, our boys may not be available at all times. Therefore, instruction will be through any number of modalities to include live video, recorded video, worksheets, podcasts, and more. Total screen time is a major concern, so we are limiting each day to three classes at 45 minutes each which includes some time on task. We anticipate a majority of our students who are able to follow the morning schedule will complete most of their work by lunch. Below is a proposed schedule. We will send a detailed schedule with additional expectations on Tuesday.

Time for the completion of homework, student support, and individual questions would run from 1-2 p.m. Boys and parents who have additional questions can schedule meetings during this time period. Teachers will respond to email as quickly as possible and within 24 hours. From 2-3 p.m. we expect our boys to complete their homework or participate in the PE challenge of the day.

2. Homeroom and Attendance

Advisors will run Virtual Homeroom every morning and homeroom would be a check-in with all the boys every day by each boy’s advisor. We will use the Canvas platform which will require the boys to login at 9 a.m. every day. We will email instructions to the boys on Tuesday. Homeroom is our way to see that they are present, attentive, completing assignments, and following the schedule. However, we realize that all boys and families may not be able to meet at this time. If you have any questions or potential scheduling issues, please communicate this to your son’s advisor. 

3. Virtual Parent Conferences

We are working to find time in our schedule this week to make calls and check in with our parents. We plan to complete conferences by the end of the day on Friday, March 20. Please work with us to find an appropriate time for these calls and understand that we may have to delay conferences even further. 

4. Feedback

Your feedback regarding this process is extremely important to us. We are all experiencing this for the first time. We want to have a seamless system but know there will be issues to include potential breakdowns in technology and the potential for disruptions in services based on illness of students, parents, teachers and their families. Besides our work and helping our Haverford School families, we also have our own families to worry about, especially children and older parents. Please communicate all your concerns with the folks in our division and we will do what we can to assist as we all navigate these historic circumstances.
