Documents on the Web
We are wrapping up the long-term document accessibility project at the end of this year. The UCM Web Team thanks you for your diligence in ensuring that our websites remain accessible to all users and compliant with the
Department of Justice ruling. Nearly every office across campus has a plan in place to finalize the remediation of their web documents.
As a reminder, no new documents (PDF, Word, Excel, or PowerPoint) may be linked from university websites without prior approval from UCM. All editors must follow the
Manage Documents guidelines before uploading or publishing files. The UCM Web Team has recently identified numerous new documents that were uploaded without review or accessibility remediation.
An exception to this rule is CVs linked from faculty profiles. A few other exceptions have been granted for specific document types, on a case-by-case basis through consultation with UCM and OIT. If you have not received an exception, then you must
request remediation of the document through UCM. If you have any questions about the process, please reach out to Shelli Minton (

Please note that editors are required to follow accessibility standards, as outlined in
Policy 31.006: Website CMS User Policy, Section E. UCM reserves the right to remove web CMS access, live publishing rights, and/or page content that violates these website policies.
Naming Conventions for Documents
We have established some naming conventions for documents to allow us to check accessibility reports more easily.
- All file names for documents that are uploaded to Drupal, should use a lowercase-no space convention. Separate words in the name with dashes.
Example: annual-report-2025.pdf - If a printable version of the PDF is linked from a webpage that contains all of the same content, then add –html to the file name.
Example: annual-report-2025-html.pdf - When the vendor remediates a PDF they will add _508 to the file name. This must stay on the file name when you upload the file.
Example: annual-report-2025_508.pdf- When you add the descriptive link text to link to a remediated PDF, add ADA in the link text. Example: Annual Report 2025 [PDF ADA]
Moving Forward
In January 2026, we will run a new report for all offices to check compliance and reach out as needed.
