ICYMI: WolfieONE is a strategic transformation initiative that entails implementing an Enterprise Resource Planning (ERP), Human Capital Management (HCM), and Enterprise Performance Management (EPM) ecosystem at SBU, supported by Oracle Cloud, to power our financial, budget, HR, technology, and business operations. The key drivers for implementing Oracle Cloud through WolfieONE are not just system upgrades. It is a comprehensive transformation grounded in campus-wide collaboration, data-informed recommendations, and strategic planning. Backed by the work of the Strategic Budget Initiative, and the end of life for PeopleSoft, this move positions Stony Brook to better serve its academic, research, and healthcare missions. WolfieONE will reduce paper-driven processes through online workflow approvals, informational dashboards, and electronic time and attendance systems. This will lessen the administrative burden on faculty, staff, researchers, and clinical teams, allowing more time to be dedicated to advancing Stony Brook's mission.

In recent months, we have moved through the design and build phases, shaping the system’s core functionality into the testing cycles. The third systems integration testing cycle (SIT 3) is currently underway, coinciding with Payroll Integrations testing.

2. Spotlight and Shoutout

Stony Brook's Tirumala Chimpiri: I am excited to highlight the outstanding contributions of Tirumala Chimpiri for his exceptional dedication and teamwork. Throughout the WolfieONE project, Tirumala has consistently demonstrated a collaborative spirit by sharing his extensive expertise in payroll-related integrations.
His in-depth knowledge of critical Office of the State Controller (OSC) and State University of New York (SUNY) integrations, including details on their data mappings, business rules, and dependencies, has been instrumental in designing solutions from WolfieONE to OSC and SUNY boundary systems for these payroll integrations.

Tirumala Chimpiri's Response: I appreciate the opportunity to contribute to the WolfieONE project and to collaborate with teams across Stony Brook University, SUNY, and the Office of the State Controller (OSC). My role has focused on designing complex data conversion programs and supporting mission-critical integrations by maintaining, troubleshooting, and documenting existing PeopleSoft Human Capital Management (HCM) interfaces with SUNY and OSC systems. These integrations are essential to maintaining accurate and timely payroll processing across West Campus, Stony Brook University Hospital, and the Long Island State Veterans Home (LISVH), where reliability is critical to keeping payroll running smoothly and avoiding operational or compliance issues at the state level.
I am eager to continue contributing to this important transformation project that strengthens institutional resilience and helps ensure that faculty, staff, healthcare professionals, and caregivers are consistently supported through reliable enterprise systems.

3. Driving Financial Insights: Reporting Advancements in ERP and FDI

The Enterprise Resource Planning (ERP) functional and analytics teams have collaborated to develop essential operational reports within ERP for monitoring daily transactions, as well as interactive dashboards in Fusion Data Intelligence (FDI). Operational reports cover areas such as receivable invoices, recent fixed asset activity, and the accounts payable payment register. These reports use real-time ERP data to provide key metrics that support financial transparency and audit needs.
FDI reports, on the other hand, are designed to support strategic decision‑making. They combine data from ERP, Enterprise Performance Management (EPM), and other University boundary systems to deliver a comprehensive financial view for Stony Brook University (SBU) and the Stony Brook Foundation (SBF). For SBF specifically, FDI dashboards also include expanded metrics such as balance sheet and income statement insights, offering valuable tools for tracking overall financial health.
Together, this complementary reporting approach streamlines access to information, enhances data accuracy, and improves the overall user experience.

The Accounts Payable (AP) module in Stony Brook University’s ERP system is designed for processing departmental refunds, integrating with requests from the hospital for patient refunds, and from Campus Solutions (the system used by Student Financial Services) for student refunds.
At Stony Brook, the Accounts Payable module focuses on managing refunds. Meanwhile, at the Stony Brook Foundation, it focuses on managing and paying suppliers, primarily for purchases from WolfMart and travel reimbursements from Concur. The advantage of this architecture is its improved integration, ensuring continuity of processes and operational effectiveness.

5. Organizational Change Management (OCM) Updates

Training Update: The training team has been diligently working on key deliverables, including the training plan, curriculum, and materials. The training strategy, which was established earlier in the program, set Stony Brook’s overall approach to achieving learning objectives. A Training Needs Assessment (TNA) was then conducted, identifying the skills and knowledge needed to ensure that the WolfieONE training program is relevant and effective. The TNA informed the training plan which offers a detailed roadmap of activities, schedules, and resources needed for effective execution. The training curriculum is a repository of new learning content items. Currently, training developers are working on developing training materials in varying formats. This coordinated effort lays a strong foundation for organizational learning and development and adoption of major transformations such as WolfieONE.
Champion Engagement: On December 4, the OCM team hosted the Monthly Change Champion meeting, which included an overview of the future financial processes and associated impacts. The updates and changes disseminated during this session will be prerequisites for training across the following work areas: general ledger, fixed assets, accounts payable, and accounts receivable. This information will help end users manage data in systems like WolfMart and Concur and ensure a successful go-live in July.
Student Experiential Learning Program (SELP) Capstone: On December 5, six students from the latest Student Experiential Learning cohort delivered their Capstone presentations. These projects offered students an opportunity to display their newly acquired skills and leadership development cultivated through their active participation in the program. Throughout the semester, the OCM team, in collaboration with SBU functional and testing leads, the Career Center, and Deloitte, mentored the students and involved them in key project activities.
