FW: New Resource Request Process - PPE

Please see the information below from OEMS outlining the new resource request process for PPE. Orders will primarily be filled from the OEMS warehouse and will be shipped directly to the requesting agency if possible. Healthcare agencies should continue to utilize the resource request link found online at: https://covid19.ncdhhs.gov/information/health-care/requesting-ppe.

From OEMS:

Effective immediately: All Group 1 and Group 2 resource requests (https://files.nc.gov/covid/documents/Healthcare-Setting-PPE-Allocation-Letter.pdf) will be routed to the new Mocksville warehouse (listed as Warehouse—OEMS in WEBEOC) for fulfillment and direct shipment to end user (when possible). Large orders will be handled on a case by case basis as shipping direct may not be an option. Shipment is primarily by UPS and therefore proper mailing address is REQUIRED to fulfill the orders. Turnaround time for fulfillment is on average approximately 5–7 days from when a request is placed. Please account for this when you submit your resource requests. If you end up in a situation that is more urgent, then a smaller amount of PPE can be picked up at the warehouse, if the product is in stock. The goal is to be more strategic and forward-leaning with the PPE requests to avoid those urgent situations.

“If the requested product is out of stock and not able to be received quickly, we will reach out to the requestor to make them aware and offer alternatives. If no alternatives are available or the requestor is unable to use the alternate, the request will have notes added and it will be closed out (marked complete). This is to help us avoid extreme backlogs of resource requests. While every effort is made to fill requests, we are just unable to source and fill every request and need to ensure we are meeting the needs more efficiently. Clearing and avoiding a backlog of resource requests is large part of the process. Our team is working through resource requests that were received prior to July 1 to help clear that backlog and may be reaching out to vet if there is an ongoing need. In situations where we have the product, we will work to fill the requests; in situations where we do not, we will be completing those requests with notes added into WebEOC.

“We continue to encourage the use of the ReadyOp form for PPE requests as this allows our team a more rapid process to fill the requests and feeds our shipping processes more directly than WEBEOC.”
