Hire and Pay Action Deadlines
  • September and October hire and pay documents are past due.
  • The deadline for HR Ops to receive November documents is Tuesday, October 15.
Make sure you allow plenty of time to generate the documents and obtain all required approvals. These deadlines help University HR get documents to the Payroll office for timely pay.
You can always find current deadlines on the HR Operations website.
Related deadlines:
Especially important for September: If hire or job change paperwork was submitted late, please be up front with your employees to let them know their pay may be delayed. Communicating this now will help manage expectations on payday.

Updates, News, Requests, and Reminders
HR partner role in PEBB open enrollment: You may have heard that open enrollment will be "passive" this year. Please advise employees that this does not mean they should do nothing. Everyone should review their current benefit selections to make sure they still meet their needs. And employees do need to take action in order to:
  • Make changes to their benefits
  • Enroll (or re-enroll!) in a flexible spending account 
and in certain other situations. Please share our open enrollment webpage and PEBB’s Decision Chart so they will know whether to take a health assessment and/or participate in open enrollment, and can learn about the benefits options for 2025. 
HR Operations and Payroll reminders: Make sure you take another look at the reminders from our September HRCP meeting. Important items include student employee to-dos, notifying HR Ops of department head and other faculty union exclusions, and a clarification on PERS retirement date vs. job termination date.
Financial Stewardship Institute project proposals due October 31: To submit a proposal for a group consulting project for FSI, visit the Financial Stewardship Institute webpage.
Workplace Harrassment and Discrimination Prevention training: We are still encouraging new employees to take the existing respectful workplace trainings but aren't formally tracking completion. Stay tuned for more information on the new required training later this fall.

FYI Fridays: Making Handshake Work — Common Issues and How to Fix Them: October 4, 11:00 a.m. to noon, PeaceHealth North (677 East 12th Ave.) Room 478. Just because we're required to use Handshake to post student jobs doesn't mean it's always an intuitive tool! This workshop will show fixes to some common Handshake problems, and point you toward resources for more help. Title IX changes affect employees' reporting requirements: Almost all employees are now required to report disclosures of discrimination, harassment and retaliation, including those made by students, to the Title IX coordinator as soon as possible. The Office of Investigations and Civil Rights Compliance website provides resources and more information. Employees may direct questions to oicrc@uoregon.edu
SAVE THE DATE: Benefits open enrollment is October 1-31. Although the process is "passive" this year, you should still review your benefits elections in your PEBB account to make sure they'll meet your needs for 2025. You do need to complete open enrollment if you want to make changes, enroll or re-enroll in a flexible spending account (FSA), and in certain other situations. To find out whether you need to complete open enrollment and/or a health assessment, review PEBB's Decision Chart document. The UO Benefits Office also has a list of resources to help you with open enrollment and provide information on your benefits options.

PERS Expo: October 1, online. You're invited to learn more about your pension and other benefits that can help you reach your retirement goals. This annual expo is designed for PERS members at any stage in their careers. You'll have access to interactive and on-demand content, including live speakers, videos, and to-do lists. Register online.
Open Enrollment is Here!: October 2, 10:00 a.m. to noon; webinar presented by PEBB. Learn what "passive" open enrollment means and whether you need to take action this year. Find out about changes to plans and get instructions for 2025 open enrollment. Register online.
Open enrollment drop-in sessions with UO Benefits Office: 
  • October 7: 7:00 to 9:00 a.m. at EMU 107 Miller Room.
  • October 16: 3:00 to 5:00 p.m. at EMU 104 Coquille Room.
  • October 22: 10:00 a.m. to noon at EMU 104 Coquille Room.
  • October 28: Noon to 2:00 p.m. at EMU 107 Miller Room.
