Dear Members and Friends,
On behalf of the Governing Board, I invite and highly encourage you to participate in a joyful milestone in the life of our Fellowship:
Sunday, November 17, at 11:15 a.m., we will hold a Special Meeting at which we will vote to call the Rev. Hannah Roberts Villnave as a Co-Minister alongside the Rev. Christina Leone-Tracy
Your participation is vital to ensure that we establish a quorum for the Special Meeting. We need a minimum of 25% of our membership in attendance to proceed with the vote. This means 124 members must be present in order to establish a quorum. Your attendance at the meeting is vitally important!
If you plan to attend in person (strongly encouraged):
• All eligible voting members attending in person MUST stop by the registration table in the lobby of our building on November 17 prior to the start of the Special Meeting to confirm your attendance and receive your paper ballot. The registration table will be open from 9:30 am until the start of the service at 10:00 am and will reopen after the service until the start of the Special Meeting. Please plan to register before the service if you can. Anyone can attend, but all eligible voting member attendees will be required to register to establish a quorum.
If you plan to attend online:
• All eligible voting members joining via Zoom MUST register in advance at this link (HERE). To preserve the integrity of our voting process Zoom attendance is not available to those friends and new members who are not eligible voting members.
• All members in one household joining via Zoom must EACH register separately and should participate on separate devices to allow for proper voting options – you may only vote once per signed in user. After registering, your eligibility to vote will be verified and you will receive a confirmation email containing information about joining the meeting. Please note that the verification is a manual process and may take some time.
Please contact director of finance and operations, Phyllis Schmitt – phyllis@fvuuf.org or at the Fellowship office, 920.731.0849 if you have questions about either the in-person or Zoom registration process. Phyllis will also be available via email on Sunday, November 17, 2024, to help troubleshoot any technical difficulties with Zoom.
We will have one 10:00 am service and the Special Meeting will follow at 11:15 am. If possible, please plan to attend the service, so that we may check you in ahead of time. Eligible Voting Members only may participate via live Zoom. If you are unable to attend the service, we look forward to seeing you for the start of the Special Meeting at 11:15 am.
Free childcare will be available during the service and special meeting.
All members with a joined date up to and including September 22, 2024, are eligible to vote. All friends and members who joined after September 22, 2024, are welcome to attend in person only but may not vote or make motions. To preserve the integrity of our voting process Zoom attendance is not available to those friends and new members who are not eligible voting members.
This process requires an immediate voting process, meaning a confidential vote will be taken at the meeting, tallied, and the results shared prior to the adjournment of the meeting. Absentee ballots will be available by calling the office or completing an online absentee ballot. All absentee ballots must be received by 10:00 am on November 17, 2024.
