Hire and Pay Action Deadlines
  • Fall term renewal RTOs are due August 1.
  • Other September appointments and pay actions are due August 15.
  • Fall MyTrack offers are due August 26.
  • August appointments and pay actions are past due.
  • Get help with fall hire and pay documents at our office hours!
Make sure you allow plenty of time to generate the documents and obtain all required approvals. These deadlines help University HR get documents to the Payroll office for timely pay.

Updates, News, Requests, and Reminders
Fall appointment renewal tips:
  • Run the Faculty Renewal report in Cognos to know who needs a renewal. Submit renewals to HR Operations by August 1.
  • Catherine Bonomini-Smith, senior associate director of HR operations, and Anita Gurule, director of payroll services, presented on fall appointments at the July HRCP meeting. 
  • Attend fall appointment office hours hosted by HR Operations on Teams to get your questions answered!
  • Check out HR Operations' RTO Guide for detailed instructions on preparing RTOs.
  • Information Services provides a timeline that describes when new employees will receive access to services (Canvas, Office 365, email, etc.). 
  • Tenure-track faculty may now receive access to some services, including Canvas, as early as 90 days prior to their contract start date and once they can claim their DuckID.
Required workplace notices: It's time to make sure that the 2024-25 versions of all the required workplace notices are posted at every worksite. We recently updated our notice links, and there are some new notices, so please do take the time to refresh them in your offices and workplaces. If you support multiple units or worksites, make sure the notices are updated at each of them.
Respectful workplace trainings: In 2024-25, the university will combine the Workplace Harassment & Discrimination Prevention training and the new state-mandated Understanding Sexual Misconduct training to create one training employees will be required to complete annually. We expect to release the new training this fall. In the meantime, we aren't tracking completion of WHDP or USM, but new employees do receive a message from HR that recommends completion of the current trainings and lists support resources. Stay tuned for more information about the combined training.
HR website upgrade: The HR website upgrade took place on June 28. You'll notice some differences in the way the site looks, but functionality should be the same. If you notice anything broken, missing, or odd looking, please email hrcommunications@uoregon.edu.

Workers' Compensation 101: July 30, 11:00 a.m.-noon via Zoom. Safety and Risk Services presents this session for supervisors, HR partners, and administrative staff. It will cover workplace injury reporting, the claim process, and how to support employees. There will be a networking opportunity and a few surprise giveaways! Register now to secure your spot!

FYI Fridays - SharePoint Team Sites 102: August 9, 1:00-2:00 p.m., HR Training Room, PeaceHealth North Building, Room 478. If you missed the first FYI Fridays SharePoint session, or just want to learn more about SharePoint, this interactive opportunity is for you. Bring your laptop! Melanie Ferstman, training specialist in Information Services, will teach you how to make your existing SharePoint sites safer, more collaborative, and easier to use. MyTrack registration required.

Willamalane preschool opportunity: The Willamalane Parks and Recreation District will prioritize up to forty UO employee families for preschool enrollment in the 2024-25 school year. Employees have until July 26 to express interest. For details and instructions, see the Around the O Workplace storyA childcare investment fund administered by the university and United Academics has provided one-time support to Willamalane to expand its offerings, in exchange for the enrollment priority. 
Workplace accommodations eLearning modules:
  • The ADA Accommodation Process at the University of Oregon: Learn about the Americans with Disabilities Act (ADA) and the workplace accommodation process at the UO. This quick, high-quality learning module is intended for all employees. Access on demand via MyTrack.
  • ADA Fundamentals for Supervisors: This is a new 30-minute training for supervisors. It focuses on the responsibilities supervisors have in supporting employees with disabilities and describes the UO's processes. Access on demand via MyTrack.
July PEBB newsletter: The Public Employees Benefit Board has published its July newsletter and learning schedule. Check out their News and Events page each month for updates and opportunities to learn about specific PEBB benefits, participate in challenges, and engage with your health and wellbeing.

Creating an Engaging Workplace: Workshop for Supervisors: August 21, 9:00 a.m.-noon, in person on the Eugene campus (exact location TBA). Employee engagement doesn't have to be just one more thing to do -- it can create a point of focus that allows you to be more effective at your job. We'll focus on understanding the fundamentals of employee engagement, the supervisor's sphere of influence, and how to build a culture of engagement in your area and team. Employee Benefits Overview: August 14, 2:00-3:00 p.m; or September 18, 2:00-3:00 p.m. via Zoom. These sessions are designed for current and new faculty, classified staff, and officers of administration. We'll discuss benefit eligibility, review core and lesser-known benefits, and go over retirement plan options. If you're interested in expanding your knowledge of the benefits and perks available to you, register today
New Hire Benefit Enrollment Drop-In Help Sessions: September 16, 9:00-11:00 a.m. in the Lease Crutcher Lewis Room, EMU. Benefits coordinators from University Human Resources will be on hand to answer questions and help new employees enroll in their benefits. Register in MyTrack.
