Be sure to load events into website calendar this summer |
|
|
Creating broad awareness about our university events is one of the best ways to boost engagement among students, employees and community members. Summer is a great time to consider all the events your team will be hosting through the fall semester – and submit those events to be added to the website calendar.

Year-End Encumbrance Review
Please review your open encumbrance report to ensure the accuracy of each order encumbrance, as this will impact the next fiscal year’s budget. Use the following guidelines to determine the appropriate actions.
|
|
|
- Outstanding balances:
– Verify if all required payments have been processed.
– If any payments are pending, request the necessary invoices from the vendor and ensure they are submitted to Accounts Payable.
- Goods/services confirmation:
– Confirm that all goods and/or services have been received and processed in eVA.
- Purchase Order (PO) closure requests:
– If the PO balance is zero and all invoices are paid, email Procurement to close the PO.
– If the open encumbrance balance is less than $100, email Procurement to close the PO in Banner.
- Unused POs:
– If the PO was not used (no receiving or payments), process a cancellation in eVA. Note that this will also cancel the PO in Banner.
- Encumbrances over $100:
– If the balance exceeds $100, a PO change order in eVA is required to reduce the encumbrance, which may allow the PO to be closed in Banner.
– If the PO has been received, process a receiving modification before the change order. Contact Procurement for assistance if needed.
|
All encumbrance adjustments must be completed by Thursday, June 27, at 5 p.m.
eVA Year End
Please stop using eVA by 4 p.m. on Friday, June 28, to allow for fiscal year-end processing in Banner. Do not submit or approve any requisitions or purchase orders in eVA after this time.
You will receive an email when normal operations resume on Monday morning, July 1. At that time, the 2025 fiscal year will be the default year for all new requisitions.
If you have any questions, please contact Sharon Proffitt, e-procurement specialist, or Hunter Malcom, procurement administration support, for additional information.

You can help recycle e-waste |
|
|
As we transition into a new copier contract, please keep in mind that we recycle all e-waste, including toner cartridges, batteries, electronics, etc. Throwing your toner cartridges, batteries or other e-waste items in the trash causes the release of harmful chemicals into the environment.
If you have questions, please contact Aysha Bodenhamer, sustainability manager. If you would like to schedule a pickup of these items, contact Neal Thompson, recycling coordinator.
