Fiscal Year 2024 Closeout Documents and Year-End Town Hall
|
The close of fiscal year 2024 is nearing, and the Georgia Tech financial community is invited to attend the FY2024 Year-End Town Hall to discuss processes, procedures, and deadlines for a successful year-end close.

The Year-End Town Hall will review the instructions and deadlines detailed in the FY2024 Closeout Memorandum and Schedule.

Important Deadline Reminders

The end of fiscal year 2024 is rapidly approaching and it is important to abide by the following deadlines to help ensure a successful and timely close out.
Requisitions to Procurement and Business Services
All requisitions below must be fully routed through departmental approvers and in the Procurement queue by close of business on the dates noted. If applicable, all required documentation must be attached at the time of submittal.

- Friday, March 8, is the requisition deadline for FY24 purchases requiring Request for Proposals (RFP).

Friday, April 12, is the requisition deadline for FY24 purchases that require sole source justification approval from the state. This applies to purchase that are $500,000 or greater.
- Friday, April 12, is the requisition deadline for purchases that require formal bidding via the Invitation for Bid (IFB).

Friday, April 26, is the requisition deadline for purchases that require sole source posting to Georgia Procurement Registry (GPR).

Campus Design and Construction Projects
Infrastructure and Sustainability has recently published the following FY24 deadlines for planning, design, and construction (PDC) contracting activities. As a reminder, Procurement and Business Services’ close out deadlines for requisitions for purchase orders, statewide or agency contracts should not be substituted for the PDC dates below. PDC dates are subject to change upon the Office of the Controller’s final schedule. All are due (or placed in the queue) by 5 p.m. on the dates noted.

Contract Awarding and Change Orders: Friday, May 10, is the final day to submit contract awards and change orders in Workday to encumber FY24 funds. If bonds and increase riders are applicable, both must be included in the contracting package for funds to be encumbered.

Invoices and Pay Applications: Friday, May 24, is the final day to submit design and construction-related invoices and pay applications in Workday.

Marketplace Offers Reliable and Secure E-Commerce Services
|
|
|
In addition to managing the billing and payment process for Georgia Tech student accounts, the Office of the Bursar also works with departments at Georgia Tech, who sell goods or services to external parties. The goal is to help ensure accuracy in the collection and routing of the funds. Fortunately, the online payment portal – Marketplace – provides an easy-to-use comprehensive solution that facilitates online credit card transactions for products and services. Plus, this secure e-commerce platform does not require costly programming expertise for implementation, deployment, or management. With a user-friendly interface and a familiar “shopping cart experience,” Marketplace enables buyers to effortlessly browse and make online purchases at their convenience.

| PCard Information Sessions
|
PCard cardholders and PCard coordinators will begin submitting requests and managing information using ServiceNow with an anticipated go-live of March 29, 2024. This transition will replace submitting requests via pcard.ask@business.gatech.edu.
The PCard team will conduct in-person and virtual information sessions throughout March and April that will include demonstrations and Q&A.

Weekly virtual office hours for the campus community to talk live with team members from Procurement and Accounts Payable to discuss any questions.
