| TWU Faculty & Staff Invited to Participate in OMOT |
TWU is excited to share a new opportunity for faculty and staff to showcase creativity beyond the workplace through participation in On My Own Time™ (OMOT), a regional program organized by the Business Council for the Arts (BCA).
Inspired by the momentum of our 'Dream Big' campaign, our theme for this year’s competition is Dream Big. All submissions should reflect your personal interpretation of what it means to 'dream big.'
Faculty and staff are invited to submit original works, created in your own time. All submissions will be featured in a TWU virtual gallery for colleagues to celebrate your work.

Total Compensation Statement easier access! |
Based on your feedback, your TCS can now be accessed from two new locations for easier access.
|
As a reminder, compensation change requests must be submitted by 5/29.
This includes the following items:
|
- New and reclassified Job Analysis Questionnaires (JAQs),
- Signature Approval Memos (SAMs),
- Compensation Hiring Exception Forms (CHEFs), and
- Position Approval Forms (PAFs) for new faculty positions
|
Submissions received after this date will move forward for review in August for FY2027 consideration.

Staff Exiting the University: Process & Resources |
If you will be leaving Texas Woman's University, the best practice is for the exiting employee to submit a resignation through Oracle Cloud. Please refer to the following resources for guidance:
|
If the employee is unable to submit a resignation in Oracle Cloud – then the department should submit a Terminate Employment. Remember it is preferred for the employee to submit a resignation but if they are unable to do so, then the Terminate Employment should be processed. Only one of these actions is to be completed. Both actions will create an error in Oracle Cloud.

TRS: Employment After Retirement (EAR) Guidelines |
Texas TRS Employment After Retirement rules for retirees returning to TRS-covered work: If you retired after January 1, 2021 (service or disability retirement) and plan to work for a TRS-covered employer under the one-half time or less exception, you must have a full calendar-month break in service and you may work up to 92 hours in that calendar month without triggering a surcharge. Departments are charged a 16.5% surcharge on the retiree’s gross pay if the monthly hours exceed 92. When counting hours, paid leave counts as time worked, and any portion of a day counts as a full day. These provisions apply to EAR limits for retirees and surcharges to departments.
Notes:

- 92 hours per month applies specifically to the one-half time or less exception.
- A break in service must be a full calendar month.
- The 16.5% surcharge is a department cost if the hour limit is exceeded.

This summary reflects retirees who ended service after Jan 1, 2021; other cases may have different rules.
- The returning employee should contact TRS at 1-800-252-8039 to review their account and confirm current EAR rules.

Vacation Carryover Rules & Approval Delegation Guide |
The amount of earned vacation hours which can be carried forward to the next fiscal year is subject to certain maximums. At the end of the fiscal year, unused accumulated vacation leave in excess of the maximum will be converted to sick leave. To view your vacation balance in Oracle Cloud, go to Me > Time and Absences > Absence Balance.

Going on vacation? Don’t forget to delegate your approvals.
Before going on vacation, line managers should make sure timecard, and absence approvals are delegated to another approver in Oracle Cloud. This helps prevent delays in employee pay and leave processing while you are away.
To set up delegation in Oracle Cloud:

- Log in to Oracle Cloud

Choose Me > Roles and Delegation
- Scroll down to “Approval Delegation” section, click the plus sign to add.
- Rule Name: Enter a recognizable name (i.e. Vacation Approvals)

Category: Select the category you would like to delegate. (Note: you can create more than one rule for each category you would like to delegate)
- Start & End Dates: Input the exact dates and times you will be away.
- Delegate To: Search for and select your designated backup approver.
- Click Save.

Important reminder: Delegations should be completed before leaving for vacation to ensure approvals continue without interruption.

Fall Hiring Preparation: Resources and Checklists for Success |
As Texas treats us to some beautiful Spring weather, Fall hiring is ramping up!
Whether you’re new to Fall hiring, refamiliarizing yourself with the process, or zipping around in Oracle Cloud like a pro, our handy Step-by-Step List for each hiring type provides support to all TWU Hiring Managers. Recent feedback: “I wanted to let you know that as a new hire, I am loving the recruitment process steps in knowledge base. It is so helpful and is making this process a lot easier!”
The TWU Supplemental Applicant Data Report has become a favorite tool for Hiring Managers. It offers a fast, streamlined way to review faculty and staff candidates' answers to the 16 pre-screening questions during interview preparation. They’re feeling confident going into interviews knowing each candidate’s salary requirements, veteran preference status, and whether the candidate will require sponsorship from TWU!
For anyone involved in searches or serving on search committees, please remember that the Annual Statement of Confidentiality needs to be completed each year. Kindly ensure everyone on your committee is up to date on this quick, four-minute "read and sign" agreement.
As you wrap up your faculty and staff searches, the final step is ensuring all required search documentation is attached to the final candidate. We are happy to answer any questions about the required attachments—and don't forget to hit save after uploading your documents!

We are excited to introduce the newest member of our HR family! Nadine Clark joined the team on April 28th as our new Recruitment Specialist. Nadine comes to TWU with a Master of Arts in Human Resource Management and an impressive HR background, including twelve years at UT Arlington and eight years in public school HR.
Fun fact: Nadine’s daughter is a current TWU student and actually encouraged her to apply! We are thrilled to welcome Nadine to Texas Woman’s and our team. Welcome, Nadine!
