A note about current events from SVC Jenny
Our world feels much different since our last update in early March. We’ve rallied through a global pandemic, helping lead UCSF’s response and the transition to recovery, showing once again that the strength of our organization is Our People. When we work together, we see results. The challenges ahead will require unity and collaboration. We are facing an uncertain financial future due to the impact of COVID, with teams within FAS actively working to address budget shortfalls and principles for moving forward to plan for further reduction scenarios. We also have an enduring public health crisis of systemic racism and Anti-Blackness. It calls on us to examine our own biases and work to eliminate systemic racial inequities. As the leader of this organization, I want us to commit ourselves not just to words but to the actions we will take, by actively participating in broad solutions with teams across the UCSF enterprise, and by efforts within FAS to ensure our workplace works for everyone. My promise to you is to communicate more in the coming months about the challenges ahead of us and what we are doing about it. We are bonded together by our work to the UCSF mission and our shared PRIDE Values. Look for more details in the coming weeks about how we can build unity through solidarity.

Behind the Scenes with UC President Janet Napolitano
While reporting directly to the University of California Janet Napolitano in his additional role as Interim Executive Vice President - Chief Financial Officer at UC Office of the President (UCOP), SVC Jenny was honored to get to know her on a more personal level. August marks a big transition for both leaders, as he transitions back to UCSF 100% time and she plans for her August 1 retirement, to be followed by a brief sabbatical and faculty appointment at UC Berkeley’s Goldman School of Public Policy. As the 20th president and first woman in this role, President Napolitano is also a distinguished public servant, as the former U.S. Secretary of the Department of Homeland Security a two-term governor of the state of Arizona. She talked with SVC Jenny about the profound financial impact of COVID and the major budgetary unknowns ahead of us; she reaffirmed UC’s commitment to our 2025 carbon neutrality goals; and talked about how the pandemic would impact the delivery education over the long term.
President Napolitano also answered questions submitted by FAS, and we wanted to share five things we learned:
- On most surprising challenges: The difficulty understanding how big and complicated the University of California is (she never saw a more complicated budget), and not fully appreciating two central pressures – lack of full funding from the state and pressure to keep tuition flat (vs inflation-based adjustments).
- On how past public service roles prepared her for her role as President: Earning calluses and developing a thick skin that helps her effectively work with multiple stakeholders (public, students, Regents, press, faculty) while making tough decisions.
- On how individuals can make public service better: Voting is number one responsibility; join community groups, write letters to the editor, talk with friends and neighbors about issues of the day.
- On the best leadership advice: Your choice of words matters; be precise in the words you use in oral advocacy and in written communication.
- On what she looks forward to after shelter-in-place: Looking forward to re-engaging in life–being with people, going to a restaurant, being able to travel.

UCPath is Live!
After more than a decade of work, UCSF celebrated the successful launch of UCPath on June 1, joining UC San Diego to complete the systemwide replacement of UC's 40-year old payroll and personnel system. We are pleased to report an overall smooth transition, with minimal disruptions and no systematic pay-impacting issues. THANK YOU to the project team, many advisory groups, our network of nearly 500 UCPath Change Agents, and each of you who are now part of our UCPath journey.

SVC Award Winners
We honor our three SVC Awardees for their contributions to FAS True North, and for enhancing our culture by demonstrating PRIDE values in their daily interactions. In support of the UCSF mission, each embraced their role to create an environment where people can do their best – by helping our people learn and grow, focusing on innovation and improvement, and being good stewards of our resources.

Esther Carmona
Recognized for her outstanding impact on the human side of our business, supporting Our People and Customer Experience pillars. Esther was the HR backbone of the implementation of UCPath, ramping up from 25% to 80% over the life of the project while continuing her director duties. She has been a major contributor to multiple critical project areas: Hitachi design and testing, HR business processes design and testing, functional converted data validation, training material development, workforce reporting, and operational alignment with the UCPath Center.

Mōno Simeone
Recognized for his innovative and collaborative approach to continuous improvement, Mōno helped to advance Real Estate and business intelligence for UCSF. He actively contributed to an impressive variety of critical UCSF projects that save money, time, and perhaps lives, such as supporting Academic Research Services efforts to geocode patient data for greater research insights and developing data collection tools and dashboards for UCSF’s Kincade Fire Response, and the COVID-19 Response and Recovery.

Adam Schnirel
Recognized for his entrepreneurial spirit, Adam exemplifies resource management and stewardship with real results towards UC’s aggressive sustainability goals such as Zero Waste, where our current waste diversion rate is 78%, one of the highest in the UC system. He promoted excellence and professionalism by founding the Lab Services Program, filling a research need for basic lab services such as freezer monitoring. And in support of Our People and staff engagement, Adam rolled out a staff training and mentorship program for represented staff, demonstrating a commitment to diversity and inclusion and staff development.

Chancellor Award for Exceptional University Service
The 2020 UCSF Founders Day Awards honored 13 faculty and staff for their public service, excellence in nursing, and service in virtual ceremony in May. FAS celebrates two Chancellor Award for Exceptional University Service awardees: Judy Fuller, Project coordinator in the Senior Vice Chancellor’s Office, nominated for her 30 years of service to three senior vice chancellors and two interim SVCs, and her volunteer work for Administrative Management Professionals and Asian Pacific American Systemwide Alliance and Paul Franke, principal planner for UCSF Real Estate, nominated for his dedication to UCSF’s Long-Range Development Plan, especially his work on sustainability and seismic assessments of buildings.

Living Green Awards
The Office of Sustainability celebrated many of our FAS peers who received 2020 awards, LivingGreen certifications, and other recognition for their efforts over the past decade at the 2020 Sustainability Awards ceremony. A special congratulations to Danny DeLeon, Housing Facilities Project Manager in Campus Life Services, for receiving the Living Green Campus Staff award for his extraordinary contributions. COVID Superpowers: What We Did
The COVID-19 pandemic has changed the way we live and work in ways we don’t even understand yet. As we transition from emergency response to recovery to UCSF, we want to pause and appreciate the monumental efforts within FAS. There are so many stories we could never get to them all. Instead, we want to recognize one superpower and one good thing from every department in our Village:

Program Management Office (PMO) initiated two recovery task forces on Future of Administrative Space and Future of Telework and Managing Remote Teams.

Real Estate quickly mobilized to bring up 53 beds on two floors in Mt. Zion hospital in seven weeks (a process that normally takes months) with such success that Health will keep it for other uses post-COVID.

Finance procured and delivered critical supply of PPE, medical gasses and testing reagents.

Audit & Advisory Services managed risk across UCSF and advised on internal controls, including updating the Fraud Awareness training to incorporate themes the FBI has uncovered during the pandemic crisis.

Police Department fully activated Emergency Operation Center (EOC) and Recovery Operations Center (ROC), resulting in 104 EOC participants, 30 event action plans, 69 situation reports, 8 safety bulletins, 35 policies and guidance and 185 complete resource requests.

Campus Life Services modified transportation program to meet changing needs, from free parking during the first few months to new daily and monthly rates, and continued shuttle service for essential workers, managing new schedules and limited capacity per public health guidelines.

Human Resources standing up policies, guidelines and programs in record time, such as the Manager’s Guide to help navigate the pandemic and the impact on employees.

Information Systems supported a nearly 1300% increase in telehealth appointments, from 3,600 telehealth visits in February 2020 to 50,000 in April 2020.

Updates that Impact Your Work and Life
- UCSF Town Halls -Your feedback is needed: Take the Town Hall survey by 5pm Thursday, June 25. Stay tuned for an upcoming Town Hall with SVC Jenny on UCSF’s finances.
- Office 365: Desktop applications and external collaborators: The next release of Office 365 collaboration tools further improves your ability to connect and collaborate with team members from home, the office or anywhere. You can find instructions for connecting your Teams and OneDrive applications on the IT website. For support please contact the IT Service Desk.
- Duo required for MyAccess beginning June 30: Cyber-attacks are increasing, and Duo is an important way we protect our logins from misuse. You will only be prompted by Duo once per MyAccess session, or every 16 hours. Visit the Duo service page for more information and training.
- Transportation: See the latest updates on shuttles and parking.
- Retail at UCSF: See updated hours of service for our Mission Bay and Parnassus food and retail option.
