Dear UT Principal Investigators,
On Monday, June 27, the research activities hub known as UT Research Management Suite (UTRMS) will launch two entirely new modules, UTRMS-Grants and UTRMS-COI:
- UTRMS-Grants adds proposal creation and award management, integrating functions of the current Research Management System (RMS) and Cayuse424. All sponsored research proposals must be submitted through UTRMS-Grants once it launches on June 27.
- UTRMS-COI merges the current Financial Interest Disclosure (FID) and Outside Activity reporting portals into a single conflict of interest and commitment tool. All financial interest disclosures and outside activities must be submitted through UTRMS-COI once it launches. After launch, faculty and researchers will be prompted by the system to complete their new Disclosure Profile at time of award acceptance, addition to IRB protocol, or annual disclosure deadline (whichever is first).
Key dates to keep in mind:
- June 22nd at noon: For proposals with submission deadlines before June 27, all PRF materials must be submitted in the legacy RMS system by noon on June 22.
- June 22nd through June 26th: current RMS will be unavailable starting at noon 6/22, but proposal submission to sponsors will continue; UTRMS-IRB & -Agreements will be unavailable starting at 5 PM 6/22.
- June 27th and beyond: All proposals submitted via UTRMS-Grants, and all conflict Disclosures and faculty Pre-approval Requests submitted via UTRMS-COI; access to RMS and eProtocol FID will be read-only.
Looking for the overview? Please review our two-paged Launch Guidance document linked here. Page one covers key questions for each module: “What is it? Who will use it? What is changing?”
Interested in training, but not sure where to start? A list of our Training Opportunities is on page two of the launch guidance document and our Events calendar, including links to sign up (remember to use the YourEID@eid.utexas.edu address for UT Zoom registrations). We recommend faculty and researchers sign up for one, 45-minute “UTRMS-COI Overview for Disclosers” session. Some researchers who handle their own proposals may also wish to attend “UTRMS-Grants Overview” and select detailed sessions.
Wondering where to find support? We plan to offer a range of options from day one, including expanded support during the first weeks after launch. We recommend you bookmark our Live Chat, available on our Get Help page from 7 AM to 7 PM Monday through Friday during the first two weeks after Go-Live (and 9 AM to 4 PM thereafter).
Full details of the launch, including the information outlined above, are available at our Launch Page. Questions may be directed to the UT Research Management Suite team at era@austin.utexas.edu.
Thank you,
UT Research Management Suite Project Team
