Encompass Essentials: Your guide to Workday and Banner readiness

May Issue 2025 |  This week's Encompass Essentials is a three-minute read.

Campus Vision

Chancellor Glenn Boyce

Thanks to hundreds of dedicated employees working tirelessly behind the scenes, Encompass — our initiative to modernize the campus enterprise systems — is experiencing tremendous momentum. This will transform how we support our people, processes and data.

One of the guiding principles of Encompass is to communicate accurate and timely information with campus stakeholders. This new monthly newsletter will share progress, celebrate milestones, highlight implementation timelines and provide helpful guidance for the road ahead.

This initiative’s success depends on you and the collective involvement of our community. Thank you for reading and staying engaged with Encompass!

Workday

Workday implementation for Human Capital Management (HCM) and Payroll is now 60% complete!

  • System design is finished; testing and prep are underway.
  • End-to-end testing begins in June (reach out if you want to be involved).
  • Training for HCM and Payroll launches in October.
  • HCM/Payroll Go-Live: January 2, 2026.
  • Finance Go-Live: July 2027.

Banner has completed the design phase and is now fully in the build phase. Unlike Workday HCM/Payroll, Banner will launch in stages, with multiple go-live dates aligned to key student processes for the 2026–2027 academic year.

  • It is expected that students applying for Fall 2026 admission will use the new admissions application (launching August 2025) and complete onboarding and financial aid processing in the Banner system.
  • Registration for Fall 2026 classes will occur in the Banner system.
  • Most faculty will begin to interact with the Banner system later in 2026.

What does ERP mean?

ERP stands for Enterprise Resource Planning—a solution that integrates and manages various business processes and functions like student information, HR, finance, and payroll. Think of it as the digital backbone of our university operations. SAP is the university’s current ERP, in place since 1999. Transitioning to a new ERP is a complex, multi-year effort that requires careful planning, testing, and collaboration.

Training & Events

Big milestones are coming—and support will be available every step of the way.

  • More Readiness Sessions will be available this summer
  • Official training opportunities for Workday begin in October 2025

Stay tuned for details in upcoming issues!
