Exciting News: Ski & Ride School Is Live in the My Epic App

We are excited to share that Ski & Ride School has officially launched in the My Epic App for our guests. This is a big milestone and a powerful way our work shows up beyond the snow. Guests can now more easily explore lessons, understand what we offer, and connect with the experiences you deliver every day. Your professionalism, expertise, and care are now front and center in a new way, and this is something to be proud of!

You may have gotten an email with a DocuSign notification about Meal Breaks – 

Uninterrupted Meal Break Exception | Ski/Snowboard Instructor Role

You may have received a DocuSign Notification that looks like the example below from DocuSign System dse_na2@docusign.net. I apologize if that landed in your inbox prior to this communication informing you of the details surrounding it.

In Colorado employees are entitled to an uninterrupted and unpaid 30 minute meal break when working over 5 consecutive hours. The instructor position is one of the few roles that has been approved for an exemption. With an on duty meal exemption, employees are allowed to remain clocked in during a meal period because the nature of the job prevents you from being fully relieved of duty. With our full day lesson products, we understand that the best guest experience requires you to stay with your guests and remain on duty during the lunch period. Therefore you are allowed to stay clocked in and are paid for that time. The DocuSign is intended to capture your agreement that your role as an instructor prevents you from being relieved of all duty during your meal break and that the company will pay you for that time while permitting you to eat. Please reach out to your manager if you have any questions regarding this and again, my apologies for the timing miss in communicating the intent of the documents.

Important Year-End Tax Reminder

As we prepare year-end tax documents, we would like to provide you with a courtesy reminder to review and update your personal information to ensure accuracy and receipt of your year-end forms.

Navigate to the EpicEmployee Employee Action Center > My Pay > W-2/W-2c Consent

  • Consent to receive electronic W-2 to support our Commitment to Zero and zero waste to landfill goals 
  • To receive your tax documents electronically, a one-time consent is required 

Review your most recent Pay Statement > Tax Data

  • Federal and state marital status 
  • Verify that your state listed is accurate 

Navigate to the Employee Action Center > My Personal Information > Personal Details. Review and update personal information: 

  • Home and mailing addresses 
  • Contact information 
  • SSN – under additional information

If you are unable to login with a personal device, ask your manager for access to a computer at your location that is connected directly to the Vail Resorts network. If you have any questions, submit an Ask a Pay Question and our payroll tax team can assist you.

In partnership with Helly Hansen (HH), we are gathering feedback on the Vail Professional Program (VPP) uniforms. The VPP uniforms refer to the new HH gear introduced over the past four seasons, featuring lighter-weight materials and enhanced performance features. A quick way to identify the new uniform is by its high-visibility hood. If you’ve received a Helly Hansen uniform, please take a few minutes to complete the survey below.

What’s New This Winter?

Thanks to feedback from past surveys and employee discussions, Helly Hansen has made key updates for the uniforms delivered in the Winter 2025/26 season, including:

  • Fabric: Made with enhanced, PFAS-free material that’s proven across Helly Hansen’s portfolio—durable, high-performing.
  • Jackets: Improved fit, added brushed tricot panel at the collar for comfort, and introduced a sleeve length adjustment system.
  • Pants: Enhanced waist adjustment design and sizing, plus a wider, better-constructed gaiter.
  • Mid-layers: Improved fit and added stretch panels at the sides and underarms for better mobility.

Note that many resorts will receive refill orders with these enhancements, but distribution will vary based on the resort and their operational needs.

We appreciate your input as we continue refining the VPP uniform program. Please keep in mind that because our uniforms are custom-designed, production takes more than a year to complete.
